Executive/Office Assistant (Washington, D.C. – U.S.)
Love Nature is currently seeking an organized, experienced, and deadline driven Executive/Office Assistant to provide network and administrative support. The person in this position must be flexible, detail oriented, a self-starter, highly organized, collaborative, and able to multi-task with many people and requests.
NOTE: This is not a television production position.
Core Responsibilities and Duties
Executive Assistant Responsibilities
- Assist EVP, Global Channels and Streaming
- Includes scheduling meetings while maintaining accuracy and integrity of calendar as meetings move around, etc.
- Arrange travel bookings and complete expense reporting for EVP
- Includes flights, accommodations, visas (as necessary), ground transport, etc. – overall management of trips.
- Coordinate all market/conference travel for EVP
- Includes standard travel accommodations as above and additionally, market meeting schedule, organization and registration.
- Assist senior level department managers with group meeting set-up, travel plan/itinerary, and expense reporting.
- Build PowerPoint or Google Slide presentations as needed for executive team
- Provide support during meeting by running technology and presentation set-up.
Overall Office Management
- Assist with creating, tracking, updating, and distributing departmental reports and presentation materials.
- Provide financial support including certain vendor set up; purchase order implementation/tracking; budget tracking/invoicing.
- Act as liaison with property management company. Attend and represent Love Nature at all building meetings. Support and communicate with all third-party vendors used in office management.
- Provide general office support and administration (i.e., answering phones, tech issues, photocopy, and office supplies).
- Key contributor in planning and organization of office related events (office wide meetings, catering as needed, etc.), including coordinating itinerary and agendas for out-of-town guests.
- Special projects and work coverage as assigned.
Key Qualifications and Experience
- Bachelor’s degree from a four-year college or university
- Minimum 2 years of relevant work experience and in an in-office work environment
- Exceptional organizational, time management, and communication skills
- Strong written and verbal skills, with the ability to communicate effectively and tactfully with a broad range of constituencies
- Strong ability to prioritize multiple tasks and meet deadlines with great attention to detail
- Comfortable liaising with clients and colleagues in a friendly and efficient manner
- Ability to trouble shoot and provide technical assistance to clients and team members
- Familiar with data input and database management (i.e., Google Drive)
- Experience with invoicing, record-keeping, and expense tracking
- Ability to self-manage projects as well as execute on complex instructions using good judgment
- Should be proficient in Word, Excel, PowerPoint and Adobe
- Should have legal right to work in the United States
