Position Overview: Blue Egg Leadership is seeking a highly organized and proactive Administrative Assistant to support client outreach, strategic enrollment, travel coordination, and document management. The ideal candidate will have a strong attention to detail, excellent organizational skills, and the ability to streamline processes for efficiency. This is a potential growing position for the right person.

Education:

Associates or similar degree preferred or 6 years experience as an administrative assistant

Administrative Efficiency & Organization

  • Work with templates to create efficiency in mapping documents and processes.
  • Tag and organize Canva files for easy access and retrieval.
  • Maintain well-structured and accessible document organization systems.
  • Write organized summaries and reports for venue research, client connections, and event planning.
  • Ensure all travel confirmations (flights, hotels, cars) are correctly listed on the calendar with confirmation numbers.
  • Upload files to the correct folders within company systems.
  • Add 100 people to the linked page and facebook page
  • Upload clients to active campaign
  • Send out email blasts 2x monthly
  • Travel arrangement and recording for Strategic Coach Travel in March etc
  • Details assisting

3. Event Coordination & Support

  • Assist in the coordination of our programs logistic.
  • Manage key event details, ensuring all timelines and deliverables are met.
  • Collaborate with vendors, venues, and team members to ensure smooth execution.

4. Quality Control & Process Improvement

  • Conduct thorough checks on emails, documents, and event coordination details for accuracy and consistency.
  • Ensure all client-facing materials are polished, professional, and aligned with company standards.
  • Establish and maintain tracking systems to monitor document accuracy and updates.

5. Travel Coordination

  • Book and manage travel arrangements for Dr. Dee, including flights, accommodations, and transportation.
  • Verify and document all travel confirmations in the calendar with necessary details.

6. Client Relationship Management

  • Assist in maintaining positive client relationships through timely follow-ups and support.
  • Organize and oversee client records, ensuring all relevant details are up-to-date.
  • Support the team in creating an exceptional client experience.

5. Program Documentation

  • Keep detailed records of program logistics, outcomes, and participant data.
  • Ensure all materials for leadership programs are organized and accessible for the team and participants.
  • Maintain confidentiality of all participant information and program data.

6. Administrative Writing & Support

  • Write professional emails, summaries, and updates for internal and external communications.
  • Assist in creating templates for emails, reports, and presentations to streamline administrative tasks.
  • Proofread and edit documents for accuracy and clarity.

Work Schedule:

  • 8-10 hours per week
  • Ability to attend occasional virtual meetings as needed.

Compensation:

  • Competitive hourly rate $15-22

Pay: $15.00 - $22.00 per hour
