POSITION PURPOSE: The individual in this role will be responsible for assisting in the planning, organization, and execution of all private and club events held at Blue Hills Country Club. This includes managing venue bookings and logistics while collaborating with the food and beverage team to ensure a seamless and successful experience for both members and guests.


DUTIES AND RESPONSIBILITIES:

Administrative

·         Maintains a working knowledge of Club policies and guidelines as outlined in the Blue Hills Country Club Employee Handbook and Club Rules.

·         Develops positive working relationships with members, guests, coworkers, and vendors.

·         Ensure proper check-in and billing for events by the accounting department.

·         Ensures event contracts are completed by member host/liaison for all events in a timely fashion.

·         Other duties as assigned by management.


Event Coordination & Execution

·      Serves as the primary point of contact for private member events, expected to be present at the beginning of the event and, when necessary, to facilitate arrangements to ensure members are well cared for.

·         Manages all party bookings at the Club, ensuring adherence to Club policies and standards.

·         Completes Banquet Event Orders (BEO) and floor plans, ensuring they are delivered accurately and promptly.

·         Partner with the Food and Beverage team per event to ensure everything is set / timeline met per BEO.

·         Oversees and maintains the Event Software, ensuring that member and guest account information, menus, and inventory items are up to date.

·         Focuses on accurately documenting events and contact information, making notes that will assist in future event bookings.

·         Collaborates with the Director of Member Relations on club event coordination in a fiscally responsible manner, actively participating in club events as required.

·         Assists in overseeing the operational aspects in collaboration with Management, including event setup, service, menu selection, entertainment, rentals, and decorations for all events.

·         Coordinates and communicates effectively and promptly with vendors regarding Club entertainment, rental, and floral services.

·      Uses best judgment in interactions with members and guests.


PHYSICAL & ENVIRONMENTAL DEMANDS:

  • Ability to be on feet for up to 85% of the prescribed shift
  • Ability to lift 30 pounds and able to stand, bend, stoop, twist, and turn for prolonged periods
  • The position will require working inside and outside at various times of the year and may require prolonged exposure to sunlight

This position often requires an individual to work long hours, holidays, weekends, and may be subjected to shifts longer than 10 hours in one working day.
