We are looking for a responsible Administrative Assistant / HR to perform a variety of administrative and clerical tasks assisting the HR dept. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Help with hiring-related tasks, such as setting up interviews and background checks.
- Prepare offer letters and contracts.
- Add information about employees to files and databases.
- Answer questions from employees, applicants, and external stakeholders.
- Ensure HR rules and procedures are always followed.
- Manage the onboarding of new employees.
- Do research, answer complaints, and solve problems as needed.
- Help with disciplinary actions and employee relations.
- Process and check the payroll.
- Respond to phone calls, emails, etc.
- Help out with other HR tasks when needed.
- Answer and direct phone calls
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system
- Update and maintain office policies and procedures
- Maintain contact lists
- Provide general support
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
