Job Title: Gallery Coordinator

Location: Blue Line Arts, 405 Vernon St. Roseville, CA 95678

Hours of Work: 28-40 hours per week, Tues-Sat from 10-5pm. Flexible hours.

Through exhibitions, educational programming, and public arts initiatives, we support a full creative life for all. Job Description:

The Gallery Coordinator is a multi-talented, team-oriented person with excellent customer relations who provides a positive first impression for visiting guests by providing valuable information on current exhibitions, events, and programming. This position plays a key role in assisting with the smooth operation of the organization and requires a working knowledge of art as well as general clerical, cleaning tasks and administrative procedures. This position serves as the artwork inventory registrar, and during installation periods, plays an important role as a preparator who assists with artwork handling, shipping coordination, gallery preparation, exhibition design and art installation. The Gallery Coordinator is primarily responsible for clear communications with exhibiting artists and is suited to a dynamic, highly organized person with a proactive approach to direct sales strategies to achieve sales revenue goals.

Essential Functions for the Position:

Guest Services

  • Enthusiastically welcome and provide guests with information on current exhibitions and provide tours as needed.
  • Solicit art sales, memberships, event rentals and event registrations from visitors.
  • Process various transactions, collect payments, and cash handling responsibilities.
  • Maintain working knowledge of program, event, and exhibition schedules.
  • Assists with event rental inquiries and scheduling as needed.
  • Receive, route and distribute correspondence/mail. Respond to general inquiries.

Exhibitions

  • Prepare routine monthly reports in alignment with the organization's strategic goals such as tracking visitor data, art sales, gallery attendance, artist surveys and calls for artists.
  • Maintain working knowledge of current and upcoming exhibitions, exhibiting artists and artwork in the gallery.
  • Organize intake and out-processing of artworks, ensuring consignment forms and shipping labels are complete and organized, inventory is kept up to date.
  • Assisting with installation of exhibitions and preparatory work including display labels, lighting, etc.
  • Coordinate invitations and scheduling of the New Members Gallery and the off-site Art at Work program.
  • Maintain online shop inventory for each exhibition. Familiarity with Wordpress, WooCommerce and Square is preferred, but not required.
  • Assist with developing strategies to increase art sales and professional development opportunities for artists.

Communications & Marketing

  • Assists with marketing tasks such as promotional print materials, social media posts and video content as needed to promote programming.
  • Writing basic draft copy for press releases, sales promotions and website content.
  • Working with other team members to generate content to promote the gallery.

Office Management

  • Ensure maintenance of proper gallery conditions prior to opening each day; sweep floor, mop, windows, empty trash, vacuum as needed.
  • Open and close the gallery each day, with few exceptions.
  • Monitor supplies inventory and place orders as needed.
  • Balance register, prepare check and enter data for artist commissions as needed.
  • Delegate tasks to volunteers and interns as needed.

Qualifications:

  • Proactive, responsible, reliable, independent, outgoing and able to work within a close-knit team.
  • Organized and displays great time management including task prioritization in alignment with deadlines.
  • Enthusiasm for the arts, familiarity with arts and culture in the Placer/ Sacramento region.
  • Articulate in current art issues, which may include public art, art education or regional art programs.
  • Basic art handling and installation knowledge and experience is preferred but not required.
  • Can submit to a LiveScan background check.
  • Computer literacy. Familiarity with or the ability to learn the following programs is preferred: Adobe Creative Cloud, Canva, Microsoft Office Suite, Airtable, Constant Contact, Wordpress, WooCommerce, NeonCRM and Square.
  • English language mastery, excels in both written and verbal communication and has strong spelling and grammar.
  • Perform moderate physical tasks, including lifting up to 25 lbs and standing for long periods of time, especially during periods of art installation. Must be able to remain stationary for 50% of work hours.
  • Knowledge of modern office methods and practices including filing, phone reception, scheduling and logistics is preferred.
  • Thrives on workflow efficiency, meeting deadlines and meticulous attention to detail.

Priority will be given to applicants with the following Education/Training:

  • Holds a degree in Art, Art History, Art Education or related field; or have two years of gallery and/or administrative experience, (paid or volunteer) and demonstrates knowledge of the Arts and/or Non-profit Arts Organizations.
  • More than 2 years of clerical or administrative experience is preferred.
  • Has a valid driver's license.

Compensation:

  • Commensurate with experience – $18.00-23.00 per hour to start.
  • 5% commission on solicited art sales.

Work Schedule

Must be available Tuesday-Saturday 11-5 pm, monthly shifts during 3rd Saturday reception events from 5-7pm, and Sunday hours during an installation period every 6 weeks.

Pay: $18.00 - $23.00 per hour
