What You'll Do:
The Regional Engagement Specialist Coordinator is responsible for the oversight and management of the engagement specialist (front desk) team for assigned clinics. The position provides direct oversight to various processes, including the engagement specialist team work schedules and patient/consumer schedules, delivering excellent customer service, and providing administrative support to staff and providers to ensure the highest degree of efficiency in patient care and patient flow at BRH clinic locations. Responsibilities include:
- Ensures protocols are accurate and thorough for the check-in and check-out of patients.
- Provides oversight for the completion of appropriate and timely documentation in the electronic medical record and any other applicable forms/tracking logs, etc. related to patient engagement
- Manages patient call flow for all appointments (face-to-face, telephonic, and telehealth), checks in and checks out patients and is accountable for front desk activities. Assists with patient call backs and other patient care related paperwork as needed.
- Ensures that incoming referrals are tracked and follow-up is completed in a timely manner.
- Provides engagement specialist coverage at assigned clinic sites, when required. Enhances clinic operations by assisting other staff/departments when time and workload permits.
- Coordinates various personnel functions for the engagement specialist team in conjunction with the Director of Behavioral Health Operations, including, but not limited to, team work and PTO schedules, recruitment, hiring, disciplinary action, performance review, and training of new engagement specialist staff at practice locations.
- Assures quality customer service standards are upheld in the practice for all clinical services. Addresses patient problems and complaints to assure effective resolution and involves Director of Behavioral Health Operations in complaint resolution, as needed.
- Knowledgeable of and complies with organization policies, procedures, standards of care and related laws and regulations including HIPAA, OSHA and infection control standards. COA Standards, and CCBHC requirements.
- Assists with health fairs and Outreach programs, as requested
- Engages with and participates in the organization’s continuous quality improvement
What We're Looking For:
- High school diploma or equivalent required.
- Bachelor’s Degree in Business or Health Care Administration or related field, preferred
- Knowledge of behavioral health care terminology
- Two years’ experience working in an outpatient medical practice setting required.
- Excellent working knowledge of computer systems, with Electronic Medical Record experience required.
- Must be able to read and generate written medical communication and documentation.
- Skills in planning, organizing, delegating, and to make recommendations for improved operational systems.
- Must be capable of providing day to day assistance to staff employees, using good management, judgment, and communication skills, with the ability to react calmly and effectively in emergency situations.
- Strong interest in working with an interdisciplinary healthcare team and culturally diverse patient population
- Bilingual preferred, but not required. If bilingual, provides language support services, as requested, based on patient/consumer and clinic needs.
