POSITION SUMMARY
The Medical Records Specialist is responsible for ensuring that health information is accurate, accessible, secure, and maintained in compliance with regulatory standards, while adhering to confidentiality standards and HIPAA compliance. This position plays a critical role in managing patient medical records, ensuring proper documentation practices, and coordinating with various team members internally and externally. As a member of the Compliance, Quality and Education team, the role involves working closely with team members and the billing department to ensure all required documents are scanned, signed, and filed correctly, contributing to operational efficiency. This position also provides administrative support to various departments and assists with reception and other administrative duties as needed. The Medical Records Specialist is essential in safeguarding patient confidentiality and supporting the overall compliance and quality efforts of Blue Ridge Care.
ESSENTIAL DUTIES & RESPONSIBILITIES
Maintains medical records in accordance with regulatory and compliance standards.
Ensures appropriate release of information from Hospice Care to other parties, including obtaining signed authorizations and processing copies of requested medical information.
Provides administrative support for the agency as required.
Monitors technical compliance of Certificates of Terminal Illness (CTIs), the Plan of Care (POC), and other items related to technical compliance, including certifications and recertifications, face-to-face visits, etc.
- Maintains all MR scans & technical paperwork necessary for billing, audits, ADRs, etc.
Scans documents into patient charts daily as needed.
Sends and follows up on communications with secondary and / or consulting physicians – including obtaining required signatures.
Ensures regular follow-ups for all charts and audits as assigned.
P rocesses requests for medical records in a timely, efficient manner.
Respects the autonomy and right to confidentiality of all patients and families.
Seeks opportunities for professional growth, including receiving constructive performance feedback. Actively seeks assistance from supervisor or other resource persons when responding to opportunities for improvement.
Acts independently and responsibly to perform job duties consistently.
EDUCATION AND EXPERIENCE
Minimum requirements include a high school diploma with 5 years related experience.
Associate's degree or equivalent preferred.
Medical Records certification preferred.
Strong computer skills with a high level of proficiency in Microsoft Office products, especially Teams, Word, and Excel.
Exceptional organizational and time management skills with strong attention to detail.
A self-motivated team player with strong and effective communication skills. Professional written and verbal business communication skills.
Works well independently and in team settings.
