Job Title: Office Assistant/Attendance Clerk
FLSA: Non-Exempt - 10 month position (hourly)
Job Summary:
The Office Assistant/Attendance Clerk provides administrative and clerical support to ensure the efficient operation of the school office. This position is also responsible for maintaining accurate student attendance records, assisting students, parents, and staff, and ensuring compliance with district and state attendance policies.
QUALIFICATIONS:
- High school diploma or equivalent required.
- Previous experience in clerical, administrative, or school office work preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), student information systems.
- Ability to handle sensitive and confidential information with professionalism.
REPORTS TO: Principal
Essential Duties & Responsibilities:
Attendance Responsibilities:
- Record and maintain accurate daily student attendance in the student information system.
- Verify and track excused and unexcused absences, following up with parents/guardians as needed.
- Communicate with parents/guardians regarding student absences, tardiness, and early check-outs.
- Generate and distribute attendance reports for school administrators, teachers, and district officials.
- Assist with monitoring chronic absenteeism and support intervention efforts in collaboration with school counselors and administrators.
- Process attendance-related paperwork, including doctor’s notes, excuse forms, and truancy notices.
- Ensure compliance with state and district attendance policies and procedures.
Office Assistant Responsibilities:
- Greet and assist students, parents, staff, and visitors in a professional and courteous manner.
- Answer and direct phone calls, take messages, and provide general information as needed.
- Assist with student enrollment, withdrawals, and maintenance of student records.
- Perform general clerical duties, including data entry, filing, copying, and distributing documents.
- Assist with scheduling meetings, preparing reports, and handling correspondence.
- Maintain office supplies and assist in organizing materials for school activities and events.
- Support other office staff and administrators with various tasks as assigned.
Working Conditions:

- Requires extended periods of sitting, standing, and computer use.
