TITLE: Registrar
QUALIFICATIONS:
- High School diploma
- Computer experience required.
- Organizational skills/multi tasking required.
- Ability to develop and maintain effective relationships with students/parents/staff.
- Arizona Department of Public Safety Fingerprint Card (IVP)
REPORTS TO: Principal
JOB GOAL: To assist in the efficient operation of the student recordkeeping process of the Elementary school.
PERFORMANCE RESPONSIBILITIES:
- Prepares and distributes information to students/parents regarding enrollment procedures, withdrawal procedures, programs, courses offered and graduation requirements, etc.
- Enters enrollment data for students entering school, including Official Transcript of courses/credits completed from last school attended.
- Responsilbe for withdrawal data computer entry; prepares and sends records for transfer to next school.
- Pre-enrollment and registration of students for classes the next year.
- Assists in the development of the master schedule of classes and updating the course content book and student handbook each year.
- Assists in the preparation, distribution, and recording of state and national testing.
- Maintains records of students in the student information system regarding entries, withdrawals, schedule changes, FTE data, etc. and makes changes in the information as necessary throughout the year. Adds course sections to the master schedule as necessary.
- Has primary responsibility for accuracy of student schedules, grades reports, eligibility lists for extra curricular activities, Loss of Credit notices, and preparation of diplomas. Also, has primary responsibility for requesting and sending records of students transferring to and from other schools.
- Maintains cumulative student files (hard copies) for current, inactive and archived students.
- Prepares various reports for administration and state reporting such as enrollment and withdrawal statistics, JTED enrollments, failed classes
- Attends workshops in order to have extensive, updated knowledge of all aspects of the student information system requirements for reporting student information to the state.
- Maintains strict confidentiality with regard to student records and reports.
- Responsible to maintain the substitute teacher sign in sheets
- Other duties as assigned
