Job Summary
The Assistant Director is responsible for overseeing daily operations of the administrative department, including all administrative assistants across all locations and the intake department. This position is instrumental in development and implementation of agency policies and procedures, as well as workflow for administrative staff, maintaining high degree of professionalism and treatment focused interactions. This position trains and supports employees with their roles in customer service, assisting clients with accessing care, navigating services through directing to appropriate staff as needed, scheduling, clerical functions and providing supervisory support and office management. The Assistant Director assigns tasks as needed to cover administration and client needs, identifies issues, problem solves, assists with employee relations and corrective practices. Additionally some human resource functions are included in the work flow including recruiting, employee relations, policy and procedure development, benefit facilitation and general documentation and managing files as needed.
This position requires a high degree of professionalism, effective oral and written communication, employee relation functions, working with management to effectively manage the departments and assist clients with accessing services. As a member of the management team this position requires oversight coverage for other directors as needed. A positive attitude and a thorough understanding of substance use and recovery is essential, with the ability to create an understanding and non-judgmental environment for people to engage in treatment. This position is based out of Waterville, but will require travel to other locations to support staff and manage offices.
Qualifications:
- Bachelor's degree in social services, business or related field required.
- 5 or more years’ experience in office management and customer service.
- Understanding of Human Resource functions preferred.
- Ability to problem solve, manage conflict and demonstrate a positive and supportive environment.
- Strong customer service skills, understanding of substance use issues, ability to show empathy for the people we serve as well as uphold accountability.
- Strong organizational skills, ability to multi-task, schedule and follow procedures.
- Excellent knowledge and ability use Microsoft office software, ability to learn and utilize Electronic Medical Records, scheduling systems and other web based applications as needed.
- Strong facilitation and training skills.
- A willingness to cover, jump in and support in any way and strong team leadership skills required.
Job Type: Full-time
Pay: $25.00 - $29.00 per hour
