We are seeking a friendly, organized, and professional Dental Office Receptionist to join our team. As the first point of contact for patients, the receptionist plays a key role in creating a welcoming environment and ensuring smooth day-to-day operations of the front office. Key Responsibilities
- Greet patients warmly and create a welcoming atmosphere
- Answer phone calls promptly and professionally, assisting patients with inquiries, scheduling, or rescheduling appointments
- Confirm patient appointments via phone, text, and/or email
- Register new patients and update existing patient records accurately
- Collect and verify insurance information, enter details into the system, and ensure proper documentation
- Check patients in and out, verifying information and updating records as needed
- Collect co-pays, payments, and handle billing inquiries with professionalism and confidentiality
- Maintain the front office area, ensuring it is clean, organized, and stocked with necessary materials
- Facilitate communication between the clinical team and patients
- Handle patient concerns or complaints promptly and escalate issues to management as necessary
- Ensure compliance with HIPAA regulations and maintain confidentiality at all times
Daily Duties Checklist
✅ Open the office (turn on lights, start phones, log into practice management software)
✅ Check voicemails and return missed calls
✅ Review the day’s schedule and prepare charts/records
✅ Verify insurance for upcoming patients
✅ Greet and check in patients, update contact and insurance info
✅ Collect co-pays and balances at check-in/check-out
✅ Answer phone calls, schedule, and confirm appointments
✅ Confirm next day’s appointments via phone/text/email
✅ Communicate schedule changes to the dental team throughout the day
✅ Monitor and respond to office emails
✅ Scan and file documents into patient charts
✅ Process patient payments and close out end-of-day reports
✅ Clean and organize the front desk/reception area
✅ Secure patient records and lock up the office at closing
Qualifications
- High school diploma or equivalent required
- Prior dental office experience preferred
- Familiarity with dental software (Open Dental, Dentrix, Eaglesoft, etc.) a plus
- Excellent communication and interpersonal skills
- Strong attention to detail and organizational skills
- Ability to multitask in a fast-paced environment
- Knowledge of dental insurance and billing is a plus
- Commitment to maintaining patient confidentiality (HIPAA compliance)
