  • This position is responsible for the receipt and flow of all incoming work, communication with customers and constant communication with all other internal departments.
  • Greet customers in a timely, friendly manner and obtain all specific vehicle / customer information required for proper repairs, contacting customer and invoicing.
  • Write up customers’ vehicle issues and concerns or maintenance requirements accurately and clearly.
  • Obtain customer signature on the repair order and provide customer a copy of the repair order.
  • Must be able to understand, communicate, and evaluate all vendors and Int’l. Warranty guidelines, approval processes and policies during the write up and repair process.
  • Establish customers’ method of payment, Purchase Order requirements and estimate requirements if needed at time of write up.
  • Follows up on payment of outstanding claims.
  • Investigate progress of vehicle repairs and contact customer with status changes / promise time if required.
  • Ensure vehicles are parked in assigned areas, trucks are locked, and keys are tagged and properly stored.
  • Explain completed work and charges to the customer.
  • Handling customer complaints with integrity and poise, and when necessary, referring dissatisfied customers to the appropriate individuals for resolution.
  • Maintaining and filing all necessary documentation as jobs progress through the Service Department.
  • Ensuring that all repairs are documented, technicians’ comments are descriptive, precise, clean, and that the allotted time is noted prior to closing and billing.
  • Reconciling excessive time if noted prior to closing repair order.
  • Posting all sublet charges to applicable repair orders.
  • Ensuring that items such as lubricants and grease are applied to repair order if applicable.
  • Ensuring that machine earnings are collected at the correct percentage rate or flat charge.
  • Keep up to date on all warranty policies and product changes to maintain effectiveness in this role.
  • Have the ability to utilize Service Portal, Accelerator tablet, and i360 at the time of write up.
  • Turning warranty claims in that have descriptive stories, correct standard repair times, adjusted time punches and sublets when applied.
  • Files and retains all warranty service records as required by the vehicle & engine manufacturers and component suppliers.
  • Ensuing payment is collected in timely manner (customer pay, fleet charge, and warranty repairs)
  • Maintaining a professional appearance and a safe, clean work environment.
  • Attending all Service Department staff meetings as required.

Required Qualifications

  • High degree of product and technical knowledge.
  • Must be sensitive to customer needs and a good listener.
  • Must be a team player with a strong sense of commitment to the customer.
  • Must be self-motivated and have good written and verbal communication skills.
  • Must conduct his / her self in a professional manner.
  • Have the ability to work other shifts for coverage of sick days or vacation relief.

  • Gross Service Sales
  • Accuracy of job write up by service advisor
  • Service Advisors concern about vehicle downtime
  • All repair orders completed accurately with all appropriate charges applied, i.e. lubricants, machine earnings and sublet charges.
  • Upselling parts/service/rentals when applied.
  • Explanation of Service Charges
  • Courteous Treatment by the service staff
