Role Overview
The Administrative Specialist – Transportation Safety plays a vital role in supporting the Transportation Safety Team and ensuring compliance with DOT regulations and safety standards. You will contribute directly to the safety and efficiency of our transportation operations while helping the broader team adhere to legal and regulatory requirements
Key Responsibilities:
- Assist in monitoring and ensuring compliance with federal, state, and local Department of Transportation (DOT) regulations.
- Track and maintain accurate records for all transportation-related certifications, permits, and licenses (e.g., Commercial Driver's License (CDL) records).
- Ensure that all drivers and vehicles comply with Hours of Service (HOS) regulations, Drug and Alcohol Testing requirements, and other DOT mandates.
- Support the onboarding and orientation of new drivers, ensuring they are aware of safety policies and DOT regulations.
- Assist in preparing for DOT audits by organizing and maintaining records such as driver logs, vehicle maintenance reports, and incident documentation.
- Track driver safety points and report results to the Transportation Safety Manager.
- Monitor driver hours of service using the Transportation Management System and report findings to the operations team.
- Uphold the company’s core values in all aspects of the role.
- Perform other duties as assigned by the Director of Human Resources and the Director of Safety.
Qualifications
- Associate degree (A.A.) or equivalent from a two-year college or technical school preferred.
- 2 years of administrative experience, ideally in the logistics industry.
- Proficiency in Microsoft Office, especially Excel, Outlook, Word, and PowerPoint.
- Exceptional attention to detail, accuracy, and organizational skills.
- Strong verbal and written communication skills, with a focus on customer service.
- Ability to manage challenges and unexpected obstacles efficiently.
- Capacity to build positive relationships with team members at all levels while maintaining confidentiality.
- Ability to multitask, prioritize, and meet deadlines with minimal supervision.
- Demonstrated responsibility, ownership, and commitment to teamwork.
- Ability to occasionally lift and/or move up to twenty-five pounds.
- A proactive mindset, continually evaluating processes and procedures for improvement.
