SUMMARY:

We're looking for an Administrative Assistant to play an active role in supporting and managing the daily needs of our President/General Manager. This position is ideal for a self-motivated, proactive/anticipatory, enthusiastic professional with exceptional organizational, writing and administrative skills and the ability to handle confidential information with tact.
ESSENTIAL FUNCTION(S):
The essential functions include, but are not limited to the following:
- Provide administrative support to the President/General Manager
- Proactively manages the President/General Manager’s calendar and contact lists
- Proactively anticipates materials and/or information needed for meetings
- Collaborates with Leadership as needed
- Manages the weekly Board Call Presentation Meeting
- Attend and record meeting minutes as needed
- Correspond with members and guests verbally and electronically as needed
- Maintain comprehensive and accurate records and reports
- Handle confidential information and maintain discretion at all times
- Work with Member Services team to coordinate general functions
- Coordinate programming details and information to communicate to membership
- Assist members and guests with personal and business matters
- Assist in general calendars and itineraries for incoming members and guests
- Assist with requests from members and guests for general maintenance and housekeeping issues
- Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Requires a high degree of administrative and executive ability, especially in terms of problem solving and decision-making
- Requires excellent oral and written communication skills
- High degree of organizational skills, resourcefulness and ability to work independently
- Ability to function under pressure while maintaining composure
- Bachelor’s Degree preferred; and one to three years related experience and/or training; or equivalent combination of education and experience
- Ability to safely drive vehicles
- Ability to establish and maintain effective relationships with employees, supervisors, and members/guests
- Ability to communicate effectively
- Ability to work independently
- Ability to write routine reports and correspondence in a professional manner
APPROXIMATE SCHEDULE AND HOURS:
- Full-time, as needed position. Will require weekdays, weekends, and Holidays. Schedule flexible as business dictates.
PHYSICAL JOB REQUIREMENTS:
Lifting/Pushing/Pulling/Carrying
- This position requires an average amount of physical labor such as bending, stooping, walking, reaching, and standing.
- Should be able to lift and carry up to 25 lbs.
Bending/Kneeling
- This position requires an average amount of physical labor such as bending, stooping, walking, reaching, sitting and standing. This position requires this type of activity throughout the day.
- This position requires office and computer time, and thus, there can be extended periods of sitting.
