Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Accounting & Budget Management:
- Maintain accurate records of maintenance expenses, invoices, and purchase orders.
- Assist in budget tracking and ensure that expenditures are within approved limits.
- Process invoices for payment and track all financial transactions related to facilities maintenance.
- Prepare financial reports related to maintenance operations as required by management.
Dispatching & Coordination:
- Receive and prioritize maintenance requests from residents and staff.
- Dispatch maintenance staff and contractors to resolve issues promptly, ensuring minimal disruption to residents.
- Monitor the progress of ongoing work orders and ensure timely completion of tasks.
- Communicate regularly with residents and staff regarding maintenance status and follow-up actions.
Vendor & Contractor Management:
- Coordinate with external vendors and contractors for specialized services or repairs.
- Ensure that contractors meet all contractual obligations, including quality standards and timelines.
- Track and maintain contractor performance records.
Compliance & Safety:
- Ensure all maintenance activities comply with safety regulations and company policies.
- Assist with periodic inspections of facilities to identify maintenance needs and compliance issues.
- Maintain proper documentation for regulatory compliance.
General Administrative Support:
- Maintain organized records of all work orders and requests.
- Handle phone calls, emails, and other communication related to facility maintenance issues.
- Provide general support to the facilities management team as needed.
Minimum Qualifications (Knowledge, Skills, and Abilities)

- Proven experience in facilities maintenance or hospitality management.
- Strong accounting and financial management skills, with the ability to work with budgets and invoices.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills to interact with residents, staff, and vendors.
- Familiarity with maintenance management software and tools.
- Knowledge of safety and compliance regulations related to facilities maintenance.
- Preferred Skills:
- Experience working in a residential or golf community setting.
- Ability to work well under pressure and prioritize tasks effectively.
- Basic knowledge of HVAC, plumbing, and general building systems.
LICENSES AND CERTIFICATIONS:
- Must possess a valid Texas Driver’s License and meet the driver safety policy requirements.

While performing the duties of this position, the employee is regularly required to stand and move around for the entirety or majority of their shift. The employee may be working outside or inside and in different types of weather including excessive heat, cold temperatures, rain and sunshine. While performing the duties of this position, the employee is also regularly required to push, pull, bend, lift and/or move up to 50 pounds. Likely this role will require the ability to drive a golf cart to transport from one area of the property to another in a safe and secure manner.
