What are the responsibilities and job description for the Member Services Admin position at Bluejack National?
SUMMARY:
Employees of Bluejack National ensure the highest level of service is offered to the members and guests of Bluejack National by providing personal, gracious, and professional services. The Guest Services Admin will coordinate all outside contractors and departmental employees by ensuring service orders are resolved timely and accurately with members, guests, and internal staff. In addition, the Guest Services Admin will maintain accurate records, including contracts, coordinating project activities, and providing scheduling support.
ESSENTIAL FUNCTION(S):
The essential functions include, but are not limited to the following:
· Answer and direct phone calls for the department
· Organize and schedule appointments with vendors, homeowners, etc.
· Plan and organize department/staff meetings and take detailed notes.
· Write and distribute email, correspondence memos, letters, faxes, and forms.
· Assist in the preparation of regularly scheduled reports
· Maintain filing system and update as needed
· Order office supplies and research pricing and suppliers as needed
· Maintain contact lists
· Maintain, reconcile, and submit all reports to Director of Facilities Maintenance
· Act as the point of contact for vendors
· Coordinate with executive and administrative assistants to handle requests and queries from leadership team
· Performing other duties as assigned
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
· 2-3 years of Administrative Assistant experience
· Working knowledge of office equipment, including computers, printers, and fax machines
· Proficiency in MS Office (Outlook, Excel, and Power Point, in particular)
· Excellent time management skills and the ability to prioritize work
· Attention to detail and problem solving
· Excellent written and verbal communication skills
· Strong organizational skills with the ability to multi-task
· Self-motivated, highly organized and detail oriented
· High school diploma required, College degree preferred
· Bilingual (SPANISH) preferred
APPROXIMATE SCHEDULE AND HOURS:
· Full time, weekdays, weekends, and Holidays. Schedule flexible as business dictates.
PHYSICAL JOB REQUIREMENTS:
Lifting/Pushing/Pulling/Carrying
· This position requires an above average amount of physical labor such as bending, stooping, walking, reaching, and standing.
· Should be able to lift and carry up to 25 lbs.
Bending/Kneeling
· This position requires an above average amount of physical labor such as bending, stooping, walking, reaching, sitting, and standing. This position requires this type of activity throughout the day.
