Position Summary:
We are seeking a highly organized and proactive Maintenance Supervisor to oversee the maintenance operations of 20 residential properties. In this role, you will lead a team of skilled maintenance technicians, ensuring optimal property performance, tenant satisfaction, and strict adherence to safety and compliance regulations. As a key leader, you will drive operational efficiency, manage vendor relationships, and implement strategic maintenance programs while fostering a positive team environment.
Essential Job Functions:
Team Leadership and Development:
- Supervise and lead a team of maintenance technicians, ensuring the effective delegation of tasks and equitable workload distribution.
- Conduct one-on-one meetings, team meetings, and annual performance reviews to foster team development and implement improvement plans.
- Identify training needs, arrange certification opportunities, and offer skill development programs to enhance team capabilities.
- Build a high-performing team environment through mentoring, coaching, and effective leadership.
Operations Management:
- Oversee daily, weekly, and monthly technician schedules, managing routine, emergency, and preventive maintenance tasks.
- Ensure the timely entry, completion, and follow-up of work orders, prioritizing urgent requests.
- Track maintenance progress, gather feedback, and develop reports on work orders, inventory levels, and task completion.
- Develop long-term maintenance strategies to ensure the longevity of property assets and create contingency plans for emergencies.
- Act as the main contact for escalated tenant maintenance issues, maintaining high customer satisfaction.
Compliance and Safety:
- Ensure adherence to NSPIRE Regulations and other relevant safety standards across all sites.
- Implement and enforce safety protocols, conduct regular training sessions, and maintain compliance documentation for all properties and equipment.
Vendor and Inventory Management:
- Negotiate service contracts, manage vendor relationships, and review invoices to verify quality before payment.
- Monitor inventory usage, analyze patterns, and manage material orders to minimize downtime during repairs.
Property Maintenance and Inspection:
- Coordinate move-in/move-out inspections and repairs, ensuring properties are ready for new tenants.
- Inspect completed tasks to ensure high-quality standards and compliance with warranty requirements.
Performance Management:
- Set clear goals for technicians, monitor performance, and identify opportunities for improvement.
- Manage technician schedules, including after-hours emergency coverage, and ensure proper use of tools, equipment, and materials.
Additional Responsibilities:
- Provide motivation, support, and guidance to team members.
- Report any issues to senior management and perform other duties as assigned.
- Attend professional training and maintain knowledge of industry best practices.
Position Qualifications:
Preferred Qualifications:
- Bachelor's or Associate degree.
- Experience working with apartment complexes.
- Familiarity with affordable housing regulations and practices.
Required Qualifications:
- Two years of experience in facilities management or a related field, or equivalent training and experience.
- High School Diploma.
- Excellent organizational, time management, and communication skills.
- Ability to use maintenance scheduling software, word processing applications, and work order software.
- Strong interpersonal skills and adaptability to a variety of situations.
- Knowledge of NSPIRE Regulations and safety compliance standards.
- Excellent written and verbal communication skills, including presentation and public speaking abilities.
- Ability to handle complex issues with sound judgment and reasoning.
- Understanding of the needs of low-income or disadvantaged populations and community environments.
- Experience in negotiations, mediations, and conflict resolution.
Working Conditions and Environment:
- Ability to lift and move up to 50 pounds occasionally.
- Extended periods of standing, walking, and sitting.
- Frequent climbing of stairs and walking around properties.
- Ability to work under pressure and manage high-stress situations.
- Flexibility to work in dynamic environments with autonomy and professionalism.
- This role requires both office-based administrative work and on-site property inspections, necessitating frequent travel across 6 states.
Driving Qualifications:
- A valid driver's license and proof of automobile insurance.
- Other licenses may be required depending on State/Local laws and/or property needs.
