The Client Services Associate role works directly with financial advisors and clients to open and manage all types of investment accounts. This includes assisting the financial advisors with account-related tasks while working within the stated brokerage rules and regulations. As a liaison between our clients, advisors, broker- dealer, and outside vendors, the Client Services Associate role exercises independent initiative and judgment to follow-up, track documents, and facilitate productive workflow, as well as resolve material issues that may impede the firm’s efficiency. The Client Services position will evaluate and make recommendations regarding workflow and communications designed to facilitate efficient account establishment and maintenance. In addition, the Client Services Associate role acts as a resource to the client services team, as well as assists various departments and providing support as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, individual must be able to perform each essential duty satisfactorily.
- Provide proactive and reactive direct customer service via phone, email, and in-person as determined appropriate.
- Evaluate and make recommendations to management regarding efficient workflow for account establishment and maintenance.
- Establish and maintain new client accounts
- Process ongoing client account updates as needed
- Set up and maintain client access to online account sites
- Validate and process client money movement transactions and asset transfers (within industry regulations)
- Act as a liaison between advisors and clients regarding requests and support
- Act as a liaison between our office and outside vendors for processing, maintenance, etc.
- Work directly with our custodians to process and maintain all aspects of our client accounts.
- Investigate and resolve un-reconciled items and problems
- Support Client Services team members with onboarding and maintenance of new client reporting programs
- Maintain updated and accurate records of ongoing service items and ensure archival of records as required
- Provide back-up support with the phones
- Keep clients and advisors updated on status of open issues and projects
- Process trades for advisory clients and retirement plans
- Monitor account cash balances and supply raise cash requests as needed for fees, distributions, etc.
- Process distribution transactions for participants of retirement plans
- Process daily deposit and add all incoming checks/securities to check blotter
- Prepare portfolio allocation reports and investment information as requested
- Prepare account summaries and requested reports for client-advisor meetings
- Oversee or assist the team with specialty projects, as needed
- Strong working knowledge of securities brokerage and investment advisory account establishment and maintenance process
- Ability to exercise independent judgment and set priorities.
- Ability to work without direct supervision.
- Superior communication skills
EDUCATION AND/OR EXPERIENCE:
- College degree preferred in business related field and/or minimum 2 years of experience in the financial services industry.
- Active FINRA Series 66 licenses preferred, but not required.
- Ability to sit at a computer for long periods of time in office environment well lit.
- Ability to lift up to 20 pounds.
- Position is located in the Orlando, FL office. Must be able to work in the office during scheduled work hours.
