The Executive Assistant is responsible for assisting and providing administrative support to the Bluespring team.
ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this role successfully, the individual must be able to perform each essential duty satisfactorily.
- Manage calendars for the department’s Executive & VPs.
- Prepare and maintain department Org Chart.
- Answer telephone for the Executive’s direct phone number.
- Review, stamp and deliver incoming department mail and invoices accordingly.
- Reconcile & submit expense reports for the department’s Executive & VPs.
- Coordinate travel arrangements for department’s Executive & VPs.
- Update & maintain department contact sheets, vacation calendar, and the Business Continuity Plan.
- Prepare agendas for ongoing meetings as required.
- Approve timecards for department’s Executive & VPs.
- Compile and prepare department metrics, including budget run-rate metrics and monthly project completion forecasts.
- Assist with invoice allocation and contractor time sheet reconciliation.
- Assist with vendor relationships and license renewal schedules.
- Follow up with customers on matters.
- Plan and host occasional business events and meetings
- Other duties and projects as assigned.
KNOWLEDGE, SKILLS AND/OR ABILITIES: To perform this job successfully, the individual should have the following skills and abilities:
- Ability to maintain confidentiality and exercise discretion
- Strong proficiency in MS Outlook, MS Excel, MS Word and MS Power-point
- Ability to follow written and oral instructions
- Exhibit professional phone demeanor
- Individual must also possess good organizational skills, efficiency skills, and communication skills, both verbal and written
- Attention to detail
- Commitment to professionalism, accountability, customer focus, and teamwork
- Motivated, exhibit initiative and self-sufficiency.
- Comfortable working in a dynamic, fast-paced environment.
- Strong Executive Assistant experience.
SUPERVISORY RESPONSBILITIES: None
EDUCATION AND/OR EXPERIENCE
- High School diploma required.
- College degree and/or industry experience preferred.
- 2 years supporting high growth teams in a fast-paced, dynamic environment.
