As the Operations Manager with US Financial, you will be responsible for all administrative and support functions of the firm, including the management of support and administrative staff. The Operations Manager reports to the Head of Operations with a career track to grow into the Head of Operations role.

MEASURES OF SUCCESS:
The Operations Manager is measured by the accomplishment of the firm's goals that pertain to the completion of projects or the maintenance of a certain standard of support. The position may also manage a budget and be measured by the ability to maintain expenses.

RESPONSIBILITIES:
  • Team/Staff Management: Assistance & guidance to staff/supervision and training.
  • Act as intermediary between Partners and staff.
  • Implementation and supervision of office procedures, ensuring office efficiency.
  • Maintenance of office equipment.
  • Maintain and distribute calendars: in-office rotation schedule (monthly), staff birthdays, work anniversaries to be revised annually.
  • Company and client event planning and organizing.
  • Transition coordinator for tuck-ins and sub acquisitions which includes: Computer equipment updates and installations, phone equipment updates and installations, liaison with Kestra/Bluespring on advisor transitions.
  • Inventory maintenance and purchasing office supplies.
  • Handle all reimbursement submissions and requests.
  • Assistance with onboarding new employees and staff.
  • Scheduling virtual and in-office interviews for new employees, summer interns, etc.
  • Maintenance of office space in Fairfield location.
  • Ensure all safety policies are current and schedule safety equipment inspections.
  • Monitor and record employee PTO in coordination with HRIS system: Dayforce.
  • Manage correspondence with vendors, service companies and IT.
  • Control and reconcile petty cash.
QUALIFICATIONS:
  • 3 years Office Management experience in a professional office.
  • 3 years in Financial Services.
  • Business and/or related degree preferred.
