General Purpose
As the Receptionist at Security Financial Management, you are the first face to great our clients and visitors in person and via phone. You will attend to visitors and address inquiries on the phone as well as face to face in a professional manner. The Receptionist is responsible for communicating information regarding the organization to the general public, clients and guests and maintaining a smooth office workflow.

Main Job Tasks, Duties And Responsibilities
- Answer telephone, take and relay messages, and provide information to callers
- Greet and direct guests entering organization
- Deal with queries from the public and customers
- Knowledgeable of staff movements in and out of organization daily
- Monitor visitor access and maintain security awareness
- Provide general administrative and clerical support
- Prepare correspondence and documents
- Receive and sort mail and deliveries
- Maintain online appointment calendar by scheduling appointments, organize conference and meeting room bookings, coordinate meetings and organize catering
- Monitor and maintain office equipment, control office supply and breakroom inventory, and tidy and maintain the reception and all common areas
- Initiate onboarding of new vendors into the Accounts Payable system. Track and approve incoming invoices for accuracy and forward to Accounts Payable Department in a timely manner
- High school diploma or equivalent generally required
- Deep knowledge of administrative and clerical procedures
- Deep knowledge of computers and relevant software applications
- Extensive knowledge of customer service principles and practices
- Extensive keyboard skills
- Strong ability to work a multi-line phone system with 20 lines
- Strong verbal and written communication skills
- Professional personal presentation with strong customer service orientation
- Excellent organizational and planning skills with strong attention to detail
- Self-motivator with strong initiative and reliability that can perform in a high paced environment
- Working knowledge of basic bookkeeping and deep digital calendar skills
