Bluestone Real Estate Services invites applications for a full-time Administrative & Operations Support Coordinator. Bluestone Real Estate is a leading association management company dedicated to providing exceptional service and enhancing the living experiences of our residents.

Bluestone is seeking a highly organized and detail-oriented administrative professional to provide essential support to three key leaders. This role requires a proactive professional with exceptional multitasking abilities, discretion, and a strong commitment to confidentiality. The ideal candidate will have experience in an executive assistant or administrative support role and a background in property management or a related industry.

Required Qualifications Key Responsibilities:
Administrative & Office Support
  • Provide coverage for phone queues and serve as backup for the Reception desk.
  • Run office-related errands as needed.
  • Assist in planning and coordinating employee events and activities.
  • Greet new hires, create ID badges, and assign onboarding learning modules.
  • Maintain and update the company website and marketing calendar.
  • Support employment branding efforts on Indeed, Glassdoor, and social media.
  • Assist with social media marketing, including posting content and tracking engagement.
HR & Compliance Support
  • Respond to unemployment claims and complete verifications of employment (VOEs).
  • Initiate background checks and schedule pre-employment drug screens.
  • Assist with workers’ compensation claims and related documentation.
  • Handle highly confidential employee and company information with discretion.
IT Support
  • Monitor and respond to IT support tickets and assist with phone queue management.
  • Support new hire technology setup, including issuing laptops and onboarding assistance.
  • Provide basic troubleshooting and employee technical support as needed.

Qualifications & Skills:

  • 2 years in an administrative or executive assistant role; experience in property management or a related industry preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with HRIS, ATS, or IT ticketing systems is a plus.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive information with professionalism and discretion.
  • Exceptional time management and organizational skills, with the ability to prioritize multiple tasks.
  • A proactive and resourceful mindset, with the ability to anticipate needs and take action.
