Application Deadline: 04/16/2025 Address: 320 S Canal Street Job Family Group: Customer Shared Services The Senior Document, Collateral, & Compliance Analyst works closely with the BMO Agented business sectors, Corporate & Commercial Lending Operations team members, and the management staff as a subject-matter-expert for lending documents, collateral, and compliance activities. Their primary portfolio focus will support commercial loans in which BMO is the lead agent bank in syndication deals. Independently analyzes business processes and provides recommendations for improvement. Work on complex assignments, projects, and audits. Analysts collect, organize, catalog, and preserve important company documents, including promissory notes, credit agreements, and mortgages. Conducts accuracy reviews of UCC Liens and mortgage filings to ensure documentation is in accordance with policies and regulations. The bank will receive non-possessory collateral like recorded mortgages and/or physical possessory collateral including stocks and bonds. The analyst is responsible for receipt, maintenance, filing, and withdrawals. Conduct quarterly and annual audits of the collateral vault. Duties may require assistance for deposit receipt of a borrower’s financial compliance, insurance, and collateral borrowing bases for document tracking in our lending system. Provides assurance as to the quality of Borrower Compliance Doc Tracking to promote efficient and effective processes and workflow. Experience with Collateral and Liens is an asset. Syndicated loans experience and knowledge is beneficial. Provides day-to-day delivery of critical lending operations processes including loan administration and servicing activities. Supports the execution of payments, transactions, service requests, administrative activities and processes and fulfillment of stakeholders inquiries/requests within relevant service level agreements. Collaborates with stakeholders to promote efficient and effective processes and work flow, establish positive working relationships across the organization and to achieve business results and deliver the intended customer and employee experience. Lending operations includes specialized operations processes and activities for mortgages, consumer lending products, leasing and/or commercial lending products. Works with a diverse industry market, which includes Asset & Wealth Management, Energy & Oil, Leveraged Lending, Dealer Finance, Food & Consumer, Real Estate, Insurance, and more. Assume ownership of customer and business partner concerns and resolve the issue while providing clear solutions. Schedule, compile and monitor various weekly, monthly, and quarterly reporting. Keep abreast of internal standards and business goals and ensure the organization achieves reporting, regulatory and audit compliance. Executes routine tasks such as service requests, transactions, queries etc. within relevant service level agreements. Completes investigations, assigned tasks, reports, and contributes to overall review assessments in a timely and accurate manner with appropriate diligence. Collaborates with team members to identify and resolve all irregularities, errors, and escalate issues, where necessary, as per guidelines. Responds directly to standard inquiries and instructions from internal business partners or other stakeholders (e.g., other operations teams) according to guidelines. Supports the execution of strategic initiatives in collaboration with internal and external stakeholders. Communicates with internal business partners and external customers to respond to standard and non-standard inquiries. Supports change management of varying scope and type; tasks typically focused on execution and sustainment activities.. Resolves standard and relatively straightforward issues, referring non-routine issues to more senior team members and/or manager. Performs administrative tasks such as distributing/collecting/filing/etc. documentation and information. May function as a problem-solving resource for more junior staff. Provides input and analysis into and participates in the planning, testing and implementation of continuous improvement projects as required. Provides accurate and timely processing of service requests, transactions, activities, etc. within relevant service level agreements and in accordance with established policies, processes and procedures. Checks and reconciles information and documentation to ensure accuracy and completeness. Identifies and resolves discrepancies in accordance with standard procedures. Escalates issues, where necessary, as per guidelines. Data enters, reviews and verifies loan information and documentation for processing and/or further handling. Manages documentation to ensure that records are maintained in a proper manner. Collaborates in development/implementation of new processes/systems and changes/improvements to existing systems and processes. Develops and maintains an understanding of the regulatory requirements and risks inherent in the operations to ensure appropriate actions are taken and operational integrity is maintained. Supports the development of tools and delivery of training focused on delivering business results. Exercises judgment to identify, diagnose, and solve problems within given rules. Works mostly independently. Broader work or accountabilities may be assigned as needed. Qualifications: Typically between 3 - 5 years of relevant experience and post-secondary degree in related field of study or an equivalent combination of education and experience. 3 to 5 years of banking/lending knowledge related to private, commercial, or residential lending is an asset. Knowledge of Loan IQ, LLT, Livelink or vendor website programs or equivalent lending applications is an asset. PC skills (MS Word, Excel, PowerPoint) – In-depth. Knowledge of the risk and regulatory requirements of the business – In-depth. Time management & Prioritization skills - Good. Strong verbal & written communication skills Organization skills - Good. Collaboration & team skills - In-depth. Analytical and problem solving skills with high attention to detail - Good. Salary: $44,000.00 - $82,000.00 Pay Type: Salaried The above represents BMO Financial Group’s pay range and type. Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position. BMO Financial Group’s total compensation package will vary based on the pay type of the position and may include performance-based incentives, discretionary bonuses, as well as other perks and rewards.
