Schedule: Monday to Friday between the hours of 7:00 am to 6:00 pm
Location: NOC USA

MANDATE

The Logistics Coordinator is accountable to support the NACCC Divisional employees & Specialized Sales Group employees with Technology, IDs and administrative setups. Successfully executing on the mandate permits the sales team to concentrate on providing a rich customer experience and maintaining a strong revenue focus. This role will be the main point of contact for all on-boarding of new employees to the team, off-boarding of departing members of the team (leaving the organization or transferring between departments) along with major technology projects acting as a business leads on project team to implement major technologies changes.

ACCOUNTABILITIES

Business Delivery & Operational Effectiveness

Maintain a good working relationship with all vendor, procurement and internal business partners

Anticipate equipment needs and monthly volumes of requests

Engage internal partners to ensure timely delivery on all requests (equipment, IDs, etc)

Understand potential changes in technology being sourced and any impacts that may pose to current day to day business requirements

Understand business challenges and source potential options to maintain efficiency of current processes

Manage floor space requirements, including occupancy and capacity planning and overall implementation for move projects for team/staff relocations within NACCC groups, as required.

Hardware refresh/upgrade (Pathway laptop/desktop/printer refreshed, mobile device upgrade)

Asset Management (inventory and deployment)

Update asset cost center and ownership of asset

Reviewing ITAM report to ensure all equipment (BB, desktop and laptop) are correctly assigned

Disposal & removal of obsolete equipment

Software procurement & non-standard item through BBOL

ID Requests Act as Back-up to ID management Co-Coordinators

Process systems access request form for new agent setups, modifications and deletions

Reset passwords for call center staff

Troubleshoot issues due to incorrect ID setups

Act as primary administrator for the NACCC call center systems including RACF, TPSS, TSYS, Verint, call center systems

Work closely with systems administrators throughout the bank as well as external vendors to coordinate the proper setup and maintenance of user rights to their systems

Audit

Conduct periodic audits to ensure that call center users have the appropriate levels of access and changes have been processed with the appropriate approvals

Maintain the physical and electronic files of all ID requests including the paperwork for the systems that are not administered in house to ensure a proper audit trail is established

Identify logical security risks of new computer systems and business processes

Review daily/monthly activity logs to detect unauthorized access attempts

Client & Relationship Management

Coordinate with vendors, procurement, and business partners to fulfill Logistics requests which may entail but is not limited to the following: laptops/desktops, printers/scanners/fax, wireless devices, work space, telephone, electrical, and other technological and infrastructure requirements.

Act as a point of escalation for LOB for technical issue

Troubleshoot and /or escalation for technical issues for LOB

Liaise with LOB and Business Partners for ID related issues

Risk Management and Control:

Manage, Monitor and audit system IDs for all employees within the 8 Commercial Divisional Group and Specialized Sales Group, as per Bank of Montreal policies and procedures. Complete monthly, quarterly semi-annual or annual audits of IDs as required.

Manage, Monitor and audit all o/s equipment for all employees within the 8 Commercial Divisional Group & Specialist Sales Group, to ensure all bank equipment is accounted for, and that expenses are correctly being applied to the appropriate cost centers.

Identify opportunities for process improvements/internal customer service delivery and product development.

Able to identify, comprehensively understand, and articulate the current state and evolution of a particular technology/technological issue or group of technologies/technological issues, and the implications for the organization/unit/area of focus and expertise. Includes the ability to identify the key drives of technology usage, and how to predict how new developments or applications will affect individual and groups within the organization in order to achieve work related goals.

Process Coordination and Management (Working)

Skilled in planning coordinating, tracking and controlling different parts of a complex process and of managing multiple parallel and interdependent processes simultaneously.

Project Management (Basic)

Skilled in planning coordinating, tracking and controlling different parts of a complex process and of managing multiple parallel and interdependent processes simultaneously.

Information Management (Working)

Integrate information standards, processes, systems and technology to enable the exchange of information among providers and user in order to support the management objectives of the group. Skilled at information processing from collection and/or production storage and retrieval to dissemination and disposal to support the optimal functioning of a group.
