We are looking for a Client Relations Specialist to join our team at Genesis of Ridgefield and help create unforgettable experiences for our clients. In this role, you’ll manage front desk operations, lead our valet team, oversee our loaner fleet, and ensure each customer’s needs are met with the highest level of service.
Key Responsibilities:
Reception Desk Management
- Greet and assist customers with a smile, providing exceptional service from the moment they walk in.
- Answer phone calls, direct inquiries, and schedule appointments efficiently.
- Address all service requests and client concerns promptly and accurately.
- Ensure client waiting area is kept tidy and stocked
- Filing when needed
Valet Team Coordination
- Lead and direct a valet team to ensure smooth, timely vehicle drop-offs and pick-ups.
- Ensure vehicles are parked and handled properly for maximum lot efficiency.
- Mentor/ oversee valet team members to deliver top-tier service every time.
Loaner Fleet Management
- Manage the dealership’s loaner vehicles, ensuring they are clean, well-maintained, and ready for clients.
- Coordinate loaner car availability, check-in/check-out, and record usage accurately.
- Help clients with loaner agreements, making their experience as seamless as possible.
Client Care & Needs Management
- Listen attentively to clients’ needs and concerns, ensuring their expectations are exceeded.
- Handle inquiries about service, scheduling, and payments, offering solutions with a positive attitude.
- Resolve client issues quickly and professionally, maintaining a focus on satisfaction.
- Follow up on service appointments to ensure continued customer happiness.
Administrative Support
- Accurately enter data into service scheduling and customer management systems.
- Process orders, invoices, and payments in a timely manner.
- Maintain client records, ensuring privacy and adherence to dealership policies.
What We’re Looking For:
- Experience: Previous customer service or receptionist experience, preferably in the automotive industry.
- Skills: Excellent verbal and written communication skills with the ability to engage professionally with clients.
- Multitasking: Ability to juggle multiple tasks in a fast-paced environment without compromising service.
- Tech-Savvy: Proficient in basic computer software and dealership management systems.
- Positive Attitude: A friendly, approachable personality that can handle any situation with grace and professionalism.
