Pinckney Community Schools is seeking a detail-oriented Accounts Payable and Purchasing Specialist to manage the company’s accounts payable processes while overseeing purchasing activities. This role ensures timely and accurate invoice processing, vendor payments, and procurement of goods and services in compliance with company policies. Key Responsibilities
Accounts Payable:
- Process invoices accurately and ensure proper approvals before payment.
- Match invoices with purchase orders and receipts to verify accuracy and resolve discrepancies.
- Prepare and execute payments, including checks, ACH transfers, and wire transactions.
- Reconcile vendor statements and investigate any discrepancies or outstanding balances.
- Maintain accurate vendor records, including tax forms (e.g., W-9s) and payment terms.
- Assist with month-end closing processes, including AP reconciliations and reporting.
Purchasing & Procurement:
- Manage the procurement process, including sourcing vendors, obtaining quotes, and negotiating pricing.
- Create and process purchase orders (POs) in alignment with company policies.
- Develop and maintain strong relationships with vendors and suppliers.
- Track and report on purchasing activities to optimize cost savings and efficiency.
- Ensure all purchases comply with budget guidelines and company procurement policies.
Qualifications & Requirements
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration or equivalent experience in a related field preferred.
- Strong knowledge of accounts payable processes, procurement procedures, and financial regulations.
- Proficiency in spreadsheets, accounting and purchasing software.
- Excellent analytical, problem-solving, and organizational skills.
- Ability to work efficiently in a fast-paced environment while meeting deadlines.
