Reports To: Director of Special Education
Salary: Starting salary is $17.25 per hour, with increases for relevant education and experience
Qualifications
- High school diploma or equivalent required.
- Three years of experience in administrative support or office management.
- Proficient in using office software (word processing, database management, spreadsheets, desktop publishing, etc.) and office equipment. Experience working with the Google Suite of products is preferred.
- Strong organizational skills and the ability to prioritize multiple tasks efficiently.
- Ability to interact positively and professionally with staff, students, and community members.
Key Responsibilities:
- Office and Clerical Support: Coordinate day-to-day office functions to support efficient operations, including managing schedules, handling communication, and assisting with administrative needs across departments.
- Communication and Coordination: Respond to phone calls, emails, and in-person inquiries, directing them to the appropriate staff or department. Ensure smooth communication across the school district and with the community.
- Calendar and Scheduling: Maintain calendars, arrange appointments, schedule meetings, and confirm appointments for administrators and staff. Coordinate logistics for events, including travel arrangements and meeting materials.
- Document and Data Management: Organize and maintain accurate filing systems, including confidential records. Enter and extract data from various databases to support instructional and support services.
- Instructional and Support Services: Prepare materials for meetings (agendas, minutes, presentations), assist in preparing reports for building, district, state, and federal requirements, and ensure all documentation is accurately compiled.
- General Office Duties: Greet visitors, make arrangements for their comfort, and direct them to the appropriate staff or location. Assist with general accounting duties, including preparing and maintaining budget records for funding accounts.
- Project Management & Reporting: Manage and report on administrative tasks, including status updates and deadlines for various building, departmental and district projects and reports. Ensure projects and reports are completed efficiently and accurately.
- Other Duties: Perform other duties as assigned by leadership, contributing to the success and efficient operation of school/department business.
Physical Requirements/Environmental Conditions:
- Requires prolonged sitting or standing, and use of office equipment including repetitive motions and computer eye fatigue.
- Requires physical exertion to manually move, lift, carry, or set up office supplies and materials.
- Must occasionally work in noisy, crowded environments with frequent interruptions.
