Job Summary:
The Assistant Property Manager supports the Property Manager in the administrative and resident relations aspects of property management. Duties include: renewal follow up, rent collection, resident communication, Processing Invoices, and maintenance coordination. This role requires strong organizational skills, excellent communication, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Tenant Relations:
- Serve as the primary point of contact for tenants, through OpenPhone, E-mail and Appfolio text. address inquiries, requests, and concerns promptly.
- Assist in resolving tenant issues, including maintenance requests and complaints.
- Facilitate tenant move-ins and move-outs, including walkthroughs and inspections.
Lease Administration:
- Assist with lease renewals follow up, gathering signatures, and documenting renewal efforts.
- Maintain accurate records of lease agreements and ensure compliance with lease terms.
Rent Collection:
- Assist in the collection of rent payments, including scheduling and documenting follow up efforts.
- Monitor tenant accounts to ensure timely payments and follow up on delinquent accounts.
- Prepare and deliver demand notices and scanning them into AppFolio once executed.
Maintenance Coordination:
- Work with Resident Relations and vendors to schedule and oversee property repairs and improvements.
- Work with PM’s to ensure all properties are inspected at least monthly to ensure safety, cleanliness, and compliance with regulations.
Financial Reporting:
- Assist in preparing monthly financial reports, including income statements and budgets.
- Track expenses and ensure they align with the property’s budget.
- Support the Property Manager in preparing and managing annual operating budgets.
Compliance and Risk Management:
- Ensure compliance with local, state, and federal regulations, including Fair Housing laws.
- Assist in implementing and enforcing property policies and procedures.
- Help manage risk by maintaining proper documentation and ensuring all safety protocols are followed.
Administrative Support:
- Provide general administrative support to the Property Manager, including scheduling resident meetings and preparing correspondence.
Assist with special projects and other tasks as assigned by the Property Manager
Skills:
- Strong customer service skills with a focus on customer relationship management
- Strong computer and keyboard skills
- Knowledge of property leasing processes and regulations
- Experience in real estate administrative tasks and office operations
