What are the responsibilities and job description for the Bookkeeper / Cost Accountant position at Boarhog LLC?
We are seeking a highly skilled Bookkeeper / Cost Accountant to support our Defense Industrial Base (DIB) prime and subcontractor clients and government customers. This role is critical in ensuring compliance with government regulations, overseeing financial processes while managing contracts invoicing, and facilitating successful contract execution and profitability. Additionally, this position will handle payroll processing for Boarhog associates.
The Bookkeeper is a hybrid role, offering flexibility to work remotely or from the Boarhog office. The ideal candidate is detail-oriented, highly organized, and thrives in a collaborative environment, working closely with business operations associates, consultants, and the Director of Operations.
Key Responsibilities
Invoicing & Accounts Receivable
- Generate and send accurate invoices, track payment statuses, and manage accounts receivable.
- Identify and report invoice discrepancies or variances.
- Maintain financial transaction records and ensure timely collections.
Timekeeping & Payroll Processing
- Ensure associates charge time correctly across contracts.
- Review timesheets for accuracy, completeness, and approvals, coordinating with Operations as needed.
- Manage timesheet system, including adding/removing associates and assigning charge codes.
- Process payroll by importing timesheet data into QuickBooks.
- Maintain and track straight time and overtime entries while ensuring compliance with state laws.
- Process 401(k) contributions and payroll-related actions.
Financial Reporting & Compliance
- Prepare monthly financial statements (cash flow, income/P&L, and balance sheets).
- Assist in company tax preparations, including payroll and business taxes.
- Monitor and track office expenses, invoices, and payments.
- Support corporate audits and financial reporting requirements.
Banking & Expense Management
- Monitor company bank accounts, deposits, and balances, providing regular reports.
- Assist with corporate expense tracking and reconciliations.
- Process and review travel authorizations, per diems, and expense reports for accuracy.
Required Qualifications
- 8 years of full cycle bookkeeping experience, including payroll processing via an external provider.
- Experience managing Firm-Fixed Price (FFP), Time & Materials (T&M), Cost-Reimbursement (CPFF/CPAF/CPIF), and hybrid contracts, including invoicing.
- Extensive experience with QuickBooks Desktop Pro, Paychex, and TriNet Payroll Systems.
- Strong knowledge of job costing and FAR Part 31 compliance for government contracts.
- Proficiency in Microsoft Excel (advanced features) and Microsoft Office Suite (Teams, Word, PowerPoint).
- Understanding of Controlled Unclassified Information (CUI) and Personally Identifiable Information (PII) handling and compliance.
Preferred Qualifications
- Experience with Hour Timekeeping application (desired but not required).
- Experience with Divvy’s bill expense receipt and credit card tracking application (desired but not required).
- Advanced knowledge of contract financial management principles and best practices.
- U.S. military veteran preferred but not required.
- Familiar with state labor laws where Boarhog is registered for payroll tax: New Jersey, Maryland, Virginia, Nevada, California, Illinois, Arizona, or Pennsylvania.
