Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and handle correspondence
- Greet visitors and direct them to the appropriate person or department
- Maintain filing systems, both physical and digital, ensuring all documents are organized and easily accessible
- Prepare and distribute memos, emails, letters, and other documents
- Perform data entry tasks and maintain databases
- Handle sensitive information in a confidential manner
- Conduct research and compile data as needed
- Perform general office duties such as ordering supplies and maintaining inventory
Qualifications:
- Proven experience as a secretary or administrative assistant
- Proficient in customer support and providing excellent service
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Proficient in file management, both physical and digital
- Ability to proofread documents for accuracy and clarity
- Knowledge of front desk procedures and phone systems
- Familiarity with computerized office systems
