Position Overview The Administrative Assistant provides logistical and operational support within the Warehouse and Receiving departments
Essential Job Functions
- Assists in preparing paperwork for inbound and outbound shipments.
- Directs truck drivers to bay doors.
- Assists with shipping and receiving appointments.
- Provides excellent customer service to drivers and other customers.
- Follows basic shipping procedures and meets all deadlines.
- Assists with validating receiving and shipping documents and reviews for accuracy.
- Assists with monitoring ERP data and identifies inconsistencies and errors.
- Supports the Transportation Logistics Manager on inputting freight PO’s when needed
- Complies with all company policies and procedures and operates all equipment in a safe and food-safe manner.
- Complies with Bob’s Red Mill food safety policies and procedures including adherence to FDA regulations, Safe Quality Food (SQF) Standards, and Good Manufacturing Practices (GMPs).
- Responsible for reporting food safety and quality concerns to Supervisors and/or Department Manager.
- Performs other duties and tasks as assigned.
- Ability to work independently and in collaboration with others.
- Ability to perform accurate and timely data entry.
- Familiarity with common office equipment.
- Ability to follow exact procedures and protocols.
- Ability to work effectively with a team using direct communication, respect, and creativity.
- Ability to stay organized and meet deadlines.
- Skilled in using Microsoft 365, including Word, Excel, PowerPoint, and Outlook.
- Ability to read, understand, and communicate information in English.

- Ability to work in an environment where exposure to potential food allergens is or may be present.

- This position reports to the Warehouse Manager.
- 1 or more years of administrative or clerical experience, AND
- High school diploma or equivalent; OR
- Any combination of education and additional years of experience that provides the necessary skills, knowledge, and ability to perform assigned tasks.
- Familiar with inventory management.
- Familiar with shipping and receiving procedures.
- Skilled in using ERP and supporting software.
- Familiar with routing and shipping schedule processes.
- Position requires the ability to sit for up to approximately 2 hours at a time.
- May be required to lift items weighing up to 50 pounds.
- The primary work environment for this position is within an office setting. There are no adverse conditions associated with this position.
