The Contracts Administrator will function as the company’s technical expert related to all internal and external contract matters, including preparation, execution, administration, and conflict resolution, including informal and formal dispute management.
Roles & Responsibilities:
- Prepare, process, distribute, and track owner contracts, subcontracts, purchase orders, and change orders using the Company’s systems and established processes.
- Track all communication and changes during the document review process.
- Prepare finalized owner contract documents for execution in AIA’s contract administration software, and route for signatures using e-sign platforms.
- Gather relevant information for various sources including redacting information from documents.
- Apply knowledge of the legal system including mediation/arbitration preparation, organizing discovery documents and working with CFO and external legal counsel.
- Prepare and file documents with courts and municipalities as necessary.
- Archive documents related to completed and ongoing cases.
- Keep track of changes in legal frameworks and provide timely updates on changes.
- Train project managers and assistant project managers on subcontracts, purchase orders, and change order processes.
- Participate in Job Status Review meetings to capture information and monitor compliance with internal processes.
- Review and assess insurance policies to ensure appropriate types and levels of coverage are maintained, including making recommendations for change as required based on current market requirements.
- Advise internal staff with respect to insurance policy coverage and general insurance requirements.
- Administer insurance claims, including collecting information related to claims, and working with the company’s insurance provider and assigned adjustors to provide information necessary to achieve resolution.
- Deliver high quality internal customer service by responding promptly to requests and concerns.
- Prepare reports and/or presentations, as required.
Required Knowledge, Experience & Competencies:
- High school diploma required.
- Provide high quality internal/external service using skilled communication and interpersonal skills.
- Detail-oriented: able to multi-task and adapt in a flexible, fast paced, dynamic work environment.
- Exhibit strong work ethic: attention to detail, analytical skill, and ability to solve complex problems.
- Excellent organizational and time management skills with ability to meet deadlines.
- Must be proficient in Microsoft Office Suite.
- North Carolina notary public (or obtained within 60 days of start date)
Preferred Knowledge, Experience & Competencies:
- Business Administration, Paralegal, or related college degree.
- Two to five years of construction contract administration experience.
- Commercial insurance familiarity, preferably related to construction.
- Working knowledge of Procore, Adobe Acrobat or Bluebeam, AIA Contracts.
Work Format:
This position requires team collaboration and presence at in-person meetings and is best suited to a traditional work schedule. Occasional remote work is acceptable.
Travel Requirements:
- Occasional travel (10-15%) to meetings and events, typically within a 150-mile radius of the office.
- Occasional travel to various job site locations as needed for photography or milestone events.
Physical Requirements:
- Ability to lift 30 lbs.
- Ability to sit and/or stand for prolonged periods of time.
- Ability to see well (naturally or with correction).
