Position Summary:
The Social Activities Coordinator is responsible for supporting the planning and execution of all Member activities and entertainment at Boca Woods Country Club including but not limited to all holiday, entertainment, & events for minors. The position will use a creative approach to create memorable events and use their creativity to support, develop, and implement activities, partnerships, and events for team members, Members and Member guests.
Responsibilities:
- Assists Catering and Events Manager with support and execution of holiday, specialty dining, entertainment, & events for minors.
- Partners with the Catering and Events Manager to book, develop contracts, and organize payments with entertainment vendors.
- Proactively manages the billing process and completes profit & loss (P&L) statements to assess financial outcomes for all events.
- Works directly with the Catering & Events Manager to assist with catering orders and events.
- Collaborates with the
- Aid the Catering and Events manager in adherence to fiscal year budgets by closely tracking all expenses for each event.
- Effectively communicate all event plans, including but not limited to, themes, decor, & menus with the House Committee and department management teams.
- Submit finalized flyer request forms for all assigned events to communications team on or before their requested deadlines.
- Ensures event reservations are open and/or scheduled to be opened in accordance with the communications department’s deadlines for event promotion.
- Ensure the details of events are adequately communicated through the creation of BEOs (Banquet Event Orders).
- Communicate effectively in writing and/or expressively.
- Greet Members/guests in a professional manner and make them feel welcome and comfortable.
- Adhere to event calendars and deadlines to contribute to the successful delivery of each event.
- Executes designated events throughout the calendar year.
- Attend mandatory staff meetings.
Requirements:
- Minimum of 1 year of experience in event planning, social coordination, or a related field.
- Exhibit excellent time management, multitasking, and organizational skills.
- Possess the ability to handle complex issues.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Knowledge of social media and marketing strategies for event promotion.
- Familiarity with proper budgeting and contract negotiation for events.
- Demonstrate strong interpersonal skills.
- Proficient in Microsoft Programs (word, excel, and outlook)
