Position Summary:
The Member Relations Specialist serves as the primary point of contact at the Front Desk, ensuring an exceptional experience for members and guests while maintaining the highest level of professionalism. This role is responsible for facilitating smooth daily operations, handling inquiries, managing reservations, supporting administrative tasks, and upholding the club’s service standards. The ideal candidate possesses outstanding communication skills, attention to detail, and the ability to multitask in a high-profile, service-oriented environment.
Essential Duties & Responsibilities:
Member & Guest Services
- Greet and assist all members, guests, and visitors with warmth and professionalism.
- Serve as the primary contact for member inquiries, directing them to appropriate departments as needed.
- Provide members with information regarding club amenities, programs, events, and dining options.
- Utilize member names frequently to foster a welcoming atmosphere.
- Manage and issue guest passes while maintaining an up-to-date log.
- Assist members with the club’s mobile app, answering questions and troubleshooting issues.
Front Desk & Administrative Support
- Answer and direct all incoming calls efficiently and professionally.
- Provide clerical support to the General Manager and executive team as needed.
- Assist members with photocopying, scanning, and faxing documents.
- Handle incoming and outgoing mail, including FedEx and UPS packages, and notify appropriate departments.
- Maintain inventory of office supplies, ensuring all areas are well-stocked.
- Assist the Accounting Department with the preparation and distribution of monthly statements and delinquency letters.
- Create and issue ID badges for all new associates.
Reservations & Event Coordination
- Manage à la carte dining reservations and communicate special dietary needs to the Food & Beverage team.
- Confirm reservations, ensuring members are informed of dress codes and event details.
- Oversee reservations for meeting rooms, ensuring accurate scheduling and setup.
- Track and manage reservations for special events such as the Ladies’ Card Party, New Year's Eve Gala, and seasonal socials.
- Coordinate reciprocal dining reservations with partner clubs during the off-season.
Communications & Marketing Support
- Proof and assist in compiling club communications, including calendars, newsletters, and flyers.
- Update daily menus and distribute them to the Food & Beverage team.
- Prepare and distribute weekly updates, menus, and event information to 32 community representatives.
- Maintain and update the "Today at Bocaire" daily bulletin for department heads.
- Assist with the design and distribution of marketing materials for club events.
- Secure speakers and entertainment for club events as needed.
Committee & Member Relations Management
- Maintain the schedule for 13 club committees and send meeting reminders.
- Track committee attendance and follow up with absent members as needed.
- Assist in organizing and scheduling notary appointments for members.
Locker Room & Lost & Found Services
- Assign and maintain records for men’s and women’s locker room lockers.
- Ensure accurate tracking of personalized locker nameplates.
- Log and store lost and found items at the Front Desk, facilitating member inquiries.
Qualifications & Requirements:
- Minimum of 2-3 years of experience in a high-profile service role, preferably in a private club or professional office setting.
- Strong customer service and interpersonal skills with the ability to build relationships with members and guests.
- Excellent verbal and written communication skills, with strong attention to detail and proper business writing etiquette.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Publisher) and familiarity with reservation systems.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Professional appearance and demeanor in accordance with club standards.
- Ability to work flexible hours, including weekends and holidays, as required.
Physical & Work Environment Requirements:
- Must be able to stand and walk for extended periods.
- Occasional lifting of up to 25 lbs.
- Ability to adapt to a dynamic club environment and interact with a diverse membership base.
