About the Role:
We’re hiring a full-time Executive Assistant to support a busy entrepreneur who owns and manages multiple businesses. This is a high-impact role where your main goal is simple: save the owner time. You'll be the right hand—keeping schedules tight, tasks organized, and making smart decisions that keep everything moving forward.
You'll also help manage internal operations, including supporting the maintenance department by making sure they’re stocked with supplies, organized in their priorities, and operating efficiently.
We’re looking for someone who’s confident, proactive, and ready to take full ownership of their role—someone who thrives in a fast-paced environment and loves being the person who "just gets it done."
What You’ll Be Doing:
- Managing and prioritizing the owner’s calendar, meetings, and daily agenda across multiple businesses.
- Handling day-to-day communications, drafting emails, managing documents, and coordinating follow-ups.
- Acting as a liaison between the owner and various managers, vendors, and clients.
- Making executive-level decisions to keep operations running smoothly without needing constant direction.
- Taking ownership of tasks and projects—tracking progress, anticipating needs, and making sure deadlines are met.
- Supporting the maintenance team by:
- Making sure they have the supplies, tools, and materials they need.
- Helping prioritize tasks and ensuring work orders are handled efficiently.
- Following up on progress and ensuring maintenance issues are resolved promptly.
- Occasionally assisting with personal tasks that support the owner's time and priorities.
What We’re Looking For:
- 3 years experience as an Executive or Administrative Assistant, Operations Coordinator, or similar support role.
- Highly organized and detail-oriented with strong time management skills.
- Confident decision-maker who takes initiative and follows through without needing to be micromanaged.
- Strong communication skills—both written and verbal.
- Comfortable juggling multiple businesses and projects.
- Tech-savvy: You’re familiar with Google Workspace, Microsoft Office, ChatGPT, and task management tools.
- Reliable, professional, and able to maintain discretion with confidential matters.
Nice to Have:
- Experience in property management, operations, or facilities support.
- A natural systems thinker who loves streamlining and improving processes.
- Familiarity with basic supply chain tracking or inventory tools.
