Position Summary

We are seeking an experienced and detail-oriented Facilities Quality Assurance (QA) Manager with recent experience in the inspection and oversight of facility-related work, including maintenance, repairs, and preventative maintenance. The successful candidate will be responsible for ensuring the quality of work performed by Facilities and Grounds Maintenance staff as well as subcontractors. The QA Manager will also be tasked with overseeing compliance with applicable codes and regulatory requirements, including but not limited to the International Building Code, National Electric Code, National Fire Protection Code, and Federal, State, and Local codes.

Essential Duties And Responsibilities

  • Conduct regular inspections of maintenance, repair, and preventative maintenance work performed by in-house staff and subcontractors to ensure compliance with quality standards and regulatory requirements.
  • Document and report on the quality of work completed, including acceptance, rejection, and noted deficiencies. Maintain accurate records of inspections, findings, and corrective actions.
  • Develop and implement quality control procedures and guidelines to ensure the effective oversight of all facility maintenance activities.
  • Ensure that all work performed adheres to applicable codes, including but not limited to the International Building Code (IBC), National Electric Code (NEC), National Fire Protection Code (NFPA), and other Federal, State, and Local regulations.
  • Communicate deficiencies, corrective actions, and recommendations for improvement to Facilities and Grounds Maintenance staff, subcontractors, and senior management.
  • Coordinate with project managers, supervisors, and contractors to ensure that necessary quality control measures are in place during all stages of work.
  • Generate regular reports on inspection results, work quality, and compliance status. Provide clear and actionable feedback to improve overall work quality and performance.
  • Work closely with facilities management teams to identify areas for improvement and ensure that quality standards are maintained across all areas of facility operations.
  • Assist with the preparation of audits and compliance assessments to ensure that all work meets or exceeds established quality standards and regulatory requirements.

Qualifications And Experience

Required Background and Experience:

  • At least five (5) years of recent (within the past 10 years) experience in the inspection and oversight of facility-related work, including maintenance, repairs, and preventative maintenance.
  • Strong knowledge of applicable codes and regulatory requirements, including the International Building Code (IBC), National Electric Code (NEC), National Fire Protection Code (NFPA), and various Federal, State, and Local codes.
  • Proven ability to document work acceptance, rejection, and noted deficiencies in a clear and organized manner.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.), with the ability to input data into systems, generate reports, and create correspondence as required.
  • Relevant certifications such as Project Management Professional (PMP), Facilities Management (FM), or other industry-related certifications are a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.). Familiarity with facility management software and the ability to generate reports and correspondence as required.
  • Strong attention to detail and ability to identify discrepancies or issues with work performed and address them appropriately.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with internal staff, subcontractors, and management teams.
  • Strong analytical skills to assess the quality of work and suggest necessary corrective actions.
  • Relevant certifications in quality assurance, facility management, or a related field are a plus.

Physical Demands

  • Sitting/Standing: This is not a sedentary role. This role requires the ability to be on your feet moving around for most of the day interacting with contractors, contractor representatives, and inspecting the work that is being performed.
  • Walking: Ability to lift and move items as needed for the facility operations.
  • Stooping/Kneeling/Crouching/Crawling: This role may require occasional stooping, kneeling, crouching, crawling, and ladder climbing to inspect all aspects of facilities or quality of projects.
  • Using Hands/Fingers: This role constantly operates technological office equipment such as laptop, mouse, keyboard, computer monitors, telephones, and scanners, copiers, and fax machines.
  • Talking/Hearing: This role requires constant communication with others in the organization to exchange information, review information, and make decisions about information.
  • Seeing: This role requires the ability to see, view, and distinguish all aspects of construction to ensure quality control.
  • Carrying/Lifting: This role requires the ability to lift up to 30lbs to transport technological office equipment, safety equipment, and other needed project items to and from various workspaces.
