The Boeing Company is currently seeking an Assistant to Elected Officer to support the Chief Engineer and Executive Vice President of Engineering, Test & Technology in Seattle, WA. The candidate will work in a staff capacity to provide administrative support of a highly complex nature, including but not limited to, calendar management, travel planning/coordination, data collection, and communication. A fast-past environment requires adaptability to pivot as required. The ideal candidate will exercise judgment and confidentiality while reflecting the executive's style and adhering to Company policy. This position requires onsite presence and will require the selected candidate to travel between our Seattle and Everett locations. In addition, this position may require on-call support of Executive including off-hours, weekends and holidays as necessary. Position Responsibilities: * Acts as gatekeeper for executive by coordinating their schedule on a daily basis for near term and long-term priorities by creating and maintaining executive's agenda of meetings, appointments and travel plans * Demonstrates flexibility with scheduling to accommodate real time priorities, such as meeting the critical needs of internal and external stakeholders * Coordinates all aspects of travel arrangements (e.g., accommodations, air/land transportation) for domestic and international travel via commercial, company-owned, or leased transportation, to ensure productivity and most efficient use of executive's time while traveling * Prepares required travel documentation (e.g., visa/passport, health, customs, cultural protocol, export compliance). Arranges destination support (e.g., security, hosts, field office) by coordinating with appropriate contacts * Collaborates with Executive Chief of Staff and Communication teams to prepare and review necessary content (slides, talking points, briefing notes, meeting logistics, etc.), prior to executive engagement to ensure efficient use of executive's time and alignment with business unit strategy * This may include standard meetings, Executive Board of Directors, or events related to customers, business partners, community involvement, and social engagements * Tracks incoming and outgoing correspondence to ensure accountability and that issues are resolved in a reliable and professional manner. In addition, is responsible to coordinate all inquiries with partner teams as required * Maintains professional verbal demeanor while interacting on executive's behalf with internal and external stakeholders * Oversees the requirements necessary for the day-to-day operation of executive office suite (e.g., office equipment, supplies, aesthetics) * Coordinates facilities requirements and conference rooms, including video/teleconferencing and computing support. In addition, acts as the focal for parking access * Proactively anticipates the executive's needs to ensure that facilities, equipment, and technical support is available as needed * Maintains continual office coverage to provide executive with administrative support at all times * Self-motivated to search and retrieve business data (e.g., forms, documents, procedures, policies, time keeping, expense reporting) from available resources, such as Boeing intranet, internet and technical libraries to provide overall compliance with existing and new company policies and procedures and works under minimal supervision * Ability to work with sensitive information, and safeguard confidential information This position is expected to be 100% onsite. The selected candidate will be required to work onsite at one of the listed location options. This position must meet export control compliance requirements. To meet export control compliance requirements, a "U.S. Person" as defined by 22 C.F.R. §120.15 is required. "U.S. Person" includes U.S. Citizen, lawful permanent resident, refugee, or asylee. Basic Qualifications (Required Skills/Experience): * High School Diploma or higher * Experience providing administrative support to multiple customers such as executives, managers, and staff members * Experience supporting calendars, travel and meetings for higher level management * Effective written and verbal communication across diverse audiences Preferred Qualifications (Desired Skills/Experience): * Bachelor's Degree or higher * 3 years of experience with Concur or a similar travel and expense management program * 5 years of experience in partnering with executives to help develop and manage the operating rhythm/cadence for executive leadership teams * Personable and professional phone demeanor; speak clearly, professionally and with decorum * Mature and independent judgment, takes initiative, and is flexible; highly responsive to the needs generated by the day-to-day activities of management and the organization; planning tasks; and leading in a team environment * A high attention to detail, self-starter, results driven Typical Education/Experience: Education/experience typically acquired through advanced education (e.g. Bachelor) and typically 3 or more years' related work experience or an equivalent combination of education and experience (e.g. Master 1 years' related work experience, 7 years' related work experience, etc.). Relocation: Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.
