Duties :
- Greeting Visitors
Welcome and direct visitors and clients upon arrival, ensuring a professional and friendly first impression.
Handle incoming phone calls, direct them to appropriate staff, or take messages as necessary.
Schedule and coordinate appointments, meetings, and conference rooms, including sending confirmations and reminders.
Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and packages.
Monitor and order office supplies as needed, ensuring the reception area and other office spaces are well-stocked.
Maintain cleanliness and organization in the breakroom, including cleaning surfaces, and ensuring appliances are in working order.
Order and stock office snacks, beverages, and kitchen supplies, ensuring the breakroom is well-stocked and organized.
Provide general administrative support, including data entry, filing, and preparing documents or reports.
Keep the reception area clean, organized, and welcoming, including managing magazines, brochures, and other materials.
Assist with document management tasks such as scanning, copying, and faxing documents.
Support office staff with various tasks as needed, including coordinating with other departments or providing coverage during breaks.
High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
Previous experience as a receptionist, administrative assistant, or in a customer service role preferred.
Excellent verbal and written communication skills with a professional and friendly demeanor.
Strong organizational and multitasking abilities with attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., phones, printers, fax machines).
Ability to interact effectively with clients, visitors, and staff, demonstrating strong customer service skills.
Good problem-solving abilities and the capacity to handle unexpected situations calmly and efficiently.
Effective time management skills and the ability to prioritize tasks and manage a busy workload.
