Job Summary
Responsible for scheduling and coordination of crane services to ensure efficient and timely operations. This role involves liaising with clients, crane service technicians, and supervisor to plan and execute the inspection/maintenance of overhead cranes while maintaining high safety standards and customer satisfaction. Additionally, compile, compute and record billing, accounting, statistical and other numerical data for billing purposes. Posting of labor and receipts and preparing billing invoices for services rendered. Work involves following procedures and regulations to organize information or data.
Duties and Responsibilities
- Plan and schedule services, ensuring optimal utilization of resources and timely completion of projects.
- Maintain accurate records of customer crane operations, including job orders, service logs, and inspection reports.
- Work closely with the Crane Service Technicians, Parts Department, Customers and Vendors to streamline processes and enhance service delivery.
- Verify accuracy of billing data and revise any errors
- Resolve any discrepancies
- Prepare itemized invoices and record amounts due for services rendered.
- Keep records of invoices and support documents.
- Contact customers to obtain or relay account information.
- Post labor for invoicing and payroll.
- Perform general administrative tasks, such as answering phones, scheduling appointments, opening work orders, and coordinating rental equipment.
- Authority to stop production in the event unsafe parts or conditions appear
- Performs other duties as assigned by the immediate Supervisor and/or Manager, which may be outside the scope of responsibilities noted above.
Minimum Qualifications:
- High school diploma or equivalent
- 2 – 4 years prior billing/invoicing experience preferred
- 2 years’ experience in a coordination/administrative role
- Knowledge of administrative and office procedures and systems such as word processing, spreadsheets, managing files and records, and workplace terminology.
- Strong organizational and multi-tasking skills
- Excellent communication and customer service skills
- Problem-solving aptitude and ability to work under pressure.
