As the Maintenance Coordinator, you will be responsible for overseeing maintenance operations, organizing tasks, and ensuring efficient scheduling. Your duties include planning daily maintenance activities, managing quarterly inspections, and implementing preventative maintenance strategies. You will coordinate with third-party contractors, taking ownership of each task from start to completion. This role requires both hands-on problem-solving and effective delegation to ensure all maintenance needs are met. Attention to detail and focus on enhancing processes, solving problems and overall hospitality is a must.

Key Responsibilities:

Maintenance & Repairs

  • Oversee and perform basic maintenance tasks such as changing light bulbs, replacing air filters, changing batteries, and open to learning how to handle minor repairs to keep properties in top condition.
  • Respond promptly to maintenance requests and urgent repair needs from guests or property managers.
  • Ensure timely resolution of issues through hands-on work or delegation to appropriate personnel.

Routine Inspections

  • Schedule and conduct regular property inspections to proactively identify maintenance concerns before they escalate.
  • Assess HVAC systems, plumbing, electrical components, appliances, and structural elements for functionality and safety.
  • Maintain detailed inspection logs and follow up on necessary repairs.

Preventive Maintenance

  • Develop and implement a preventive maintenance schedule utilizing our contractor network for all property systems, including HVAC, plumbing, electrical, and appliances.
  • Coordinate upkeep of exterior and interior spaces, including landscaping, painting, and general property maintenance.

Scheduling & Team Coordination

  • Plan and assign daily, weekly, and quarterly maintenance tasks to internal team members based on priorities and workload.
  • Ensure efficient scheduling of inspections, repairs, and preventive maintenance to minimize downtime and disruptions. Efficient pipeline management.
  • Communicate task assignments and deadlines clearly with the operations team and management.
  • Monitor progress and adjust schedules as needed to accommodate urgent requests or unforeseen issues.

Vendor Coordination

  • Manage relationships with third-party contractors and vendors, ensuring they complete work efficiently and to company standards.
  • Schedule and oversee vendor services, ensuring tasks are completed on time and within scope.
  • Track vendor performance and maintain a network of reliable service providers.

Repair & Troubleshooting

  • Diagnose and resolve common maintenance issues, including leaks, electrical problems, HVAC malfunctions, and appliance breakdowns.
  • Determine when to handle repairs in-house versus outsourcing to specialists, ensuring cost-effectiveness and quality control.

System Management

  • Utilize and maintain maintenance tracking systems to ensure accurate and up-to-date information.
  • Optimize system usage to facilitate smooth operations and enhance the overall maintenance process.
  • Maintain organized documentation to support efficient scheduling and task completion.

Daily Reporting

  • Send morning reports detailing the maintenance coordinator’s schedule, planned routes, and task prioritization for the day to optimize efficiency.
  • Provide evening recap reports summarizing completed tasks, outstanding issues, and any adjustments needed for the following day.
  • Ensure clear and proactive communication with management and the operations team through daily reporting.

Documentation & Reporting

  • Maintain accurate records of maintenance activities, repairs, inspections, and vendor interactions.
  • Update property management software with task statuses and maintenance logs for transparency and tracking.

Guest & Property Manager Support

  • Provide prompt, professional service when addressing maintenance concerns raised by guests or property managers.
  • Ensure minimal disruption during repairs and communicate clearly about expected timelines.

Home Inspections & Compliance

  • Conduct thorough property inspections, ensuring quarterly evaluations are scheduled, completed, and properly documented.
  • Ensure properties remain in compliance with safety and maintenance regulations.

Weekend Availability & Team Collaboration

  • Maintain availability on weekends to accommodate requests and operational requirements.
  • Reporting directly to the Director of Area Operations. Work closely with the operations team, communications team, and management to ensure seamless coordination and an exceptional guest experience.

Requirements

  • General maintenance skills, including plumbing, electrical, and appliance repairs.
  • Strong attention to detail and ability to multitask effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Flexible availability, including weekends and holidays.
  • Valid driver's license and reliable transportation.
  • Ability to safely use maintenance tools and equipment.
  • Capable of lifting up to 75 lbs., bending, and stretching as needed

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year

  • Weekends as needed
