Bonita National is looking for a well-organized and motivated Receptionist to perform a variety of administrative and clerical tasks in an exciting and fast-paced environment in our administrative office. As a Front Desk Receptionist, you will be the first point of contact for our Country Club members, guests, and visitors. Duties include offering administrative support across the organization. You will greet members and guests who visits the office in a professional and welcoming manner. You will coordinate front-desk activities, including distributing correspondence, answering and directing phone calls, responding to phone messages in a timely manner, and handling mail and other clerical duties.

To be successful you should be a dynamic self-starter who is eager to thrive in an active environment and deeply passionate about providing the highest quality administrative support and member service. You should be able to deal with urgent situations in timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. A Front Desk Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality and professional standards.

Receptionist Job Responsibilities:

  • Promptly and politely greets and welcomes all visitors that arrive at the office.
  • Directs visitors and callers to the appropriate staff member utilizing employee and department directories.
  • Maintains full knowledge of the administrative staff, ownership, management company, and the country club.
  • Using a multi-line telephone, answers, and appropriately routes all incoming calls for various business departments with courtesy, speed, and accuracy. Presents a professional, courteous demeanor when notifying personnel.
  • Provides general and accurate information regarding routine inquiries from members, and refers non-routine, sensitive, and/or complex requests for information and other inquiries or complaints to the Office Manager.
  • Be familiar with procedures for handling all aspects of customer inquiries, complaints, or disputes.
  • Responsible for the gathering and management of data pertaining to new membership registration and keeps record up to date.
  • Assists new members with registration, check in and membership assignment following proper procedures.
  • Process payments via credit card, check, and member charge accounts.
  • Ensure reception area is tidy, clutter free and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures.)
  • Receive, sort, and distribute daily mail deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (member systems, logbook, and visitor cards.)
  • Performs other clerical receptionist duties such as filing, photocopying, scanning, transcribing, data entry and record keeping.
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Contributes to team effort by accomplishing related tasks as needed, and in a timely manner.
  • Other duties as assigned.

Receptionist Qualifications/ Skills:

  • High School Graduate or GED
  • Excellent verbal and written communication skills
  • Exceptional customer service skills
  • Well organized, dedicated, reliable, and flexible
  • A self-starter capable of multi-tasking and prioritizing
  • Strong computer skills with emphasis on MS Office, including Outlook, Word, PowerPoint, Excel, and the Internet
  • Ability to take initiative in completing assigned work projects
  • Ability to handle multiple responsibilities, task-oriented projects, and details simultaneously
  • Ability to work independently and collaboratively with numerous personality types
  • Must possess ability to make independent decisions when circumstances warrant such action
  • Must possess patience, a cheerful disposition, enthusiasm, and the ability to deal tactfully with personnel, members, guests, visitors, vendors, and the general public in a fast paced environment
  • Has full knowledge of the administrative staff, ownership, and management company
  • Ability to learn quickly and instruct others
