Summary Description:
This role involves the accurate and timely management of quotations, customer RFQs, and related data. The successful candidate will handle various tasks including data entry, document management, customer and vendor communications, and support for Sales, Production Planning and Product Development. Meticulous attention to detail and the ability to manage multiple responsibilities efficiently are crucial.
Schedule:
Monday - Friday 7:30am -4:00pm
Essential Functions:
Quotation Management:
- Ensure the timely and accurate entry and delivery of customer quotations.
- Respond to customer inquiries regarding RFQs and pricing for parts to be quoted.
- Obtain and review quotes from outside vendors to ensure competitive pricing.
Document and Data Management:
- Scan, save, and file customer RFQs and quotations electronically, maintaining an organized and accessible system.
- Perform continual maintenance and cleanup of electronic job folders.
- Manage the customer specifications database and electronic specification files.
Data Accuracy and Maintenance:
- Review and correct incorrect data in Odyssey, including core routing, labor routing, and material routing.
- Maintain and update the electronic plant drawing to ensure accuracy.
Support Functions:
- Assist Sales with contacting customers with correspondence in relationship to customer quotes.
- Assist the Production Planner with contacting customers and entering orders as needed.
- Provide support to the Product Development Coordinator when required.
Additional Tasks:
- Perform any other job-related tasks as assigned to support team objectives and business needs.
Skills or Experience Required:
Qualifications:
- Proven experience in quotation management, data entry, and document handling.
- Strong attention to detail and accuracy in managing and maintaining data.
- Proficiency in electronic document management systems and data management software, such as Odyssey.
- Excellent communication skills for interacting with customers, vendors, and internal teams.
- Ability to handle multiple tasks and prioritize effectively.
Preferred Skills:
- Familiarity with plant drawings and routing processes.
- Experience with customer and vendor communications and pricing negotiations.
- Ability to stay calm under pressure and to handle many interruptions throughout the course of the day.
