The Operations Assistant II in Cardiac Surgery will be responsible for overseeing and coordinating assigned inpatient areas, focusing on the environment, equipment, compliance, monitoring, and safety. The role involves serving as a liaison with other departments to resolve issues, collaborating with the interdisciplinary team, and supporting continuous process improvement initiatives. The Operations Assistant will also act as a Patient Experience Representative as needed, ensuring the best possible experience for patients and families by coordinating services. The position also includes participating in training program development.

Key Responsibilities:

  • Oversee daily operations in a clinical service, ensuring smooth coordination.

  • Serve as a liaison to departments such as Engineering, Environmental Services, Health Technology Management, and Materials Management to resolve operational, equipment, safety, and compliance issues.

  • Participate in departmental and hospital-wide committees.

Regulatory, Safety, and Compliance:

  • Participate in daily safety huddles to address safety and regulatory compliance.

  • Ensure adherence to regulatory standards, including JCAHO compliance and equipment checks.

  • Monitor the environment for safety, including fire and life safety, and manage compressed gas cylinder storage.

  • Conduct weekly audits and ensure organization and safety of storage areas and emergency equipment.

  • Collaborate with the interdisciplinary team on compliance issues and create action plans.

Equipment Management:

  • Interface with staff throughout the day to address equipment needs and resolve issues quickly.

  • Maintain an accurate inventory of medical equipment and furniture, ensuring all items are in good working condition.

  • Collaborate with Health Technology Management to resolve equipment issues and maintain a tracking system for repairs and returns.

  • Ensure proper cleaning and stocking of supplies in assigned areas.

Administrative and Patient Experience Responsibilities:

  • Answer, screen, and route telephone calls, providing assistance or routing requests appropriately.

  • Greet and direct patients, families, and visitors.

  • Monitor daily schedules and patient flow, optimizing resource utilization and patient experience.

  • Coordinate clinical and administrative services with other departments using systems like ALICE, EPIC/Prelude ADT, and Bed Management.

  • Collect and organize medical records, prepare routine administrative forms, and schedule events or meetings.

Training and Process Improvement:

  • Participate in developing training programs and orienting staff to the Operations Assistant role.

  • Actively contribute to departmental and organizational process improvement initiatives.

  • Assist in implementing changes to internal systems and procedures.

Qualifications:

  • High school diploma required.

  • At least 1 year of experience as an Operations Assistant.

  • Advanced knowledge of clinical and operational needs in the unit.

  • Ability to interpret and apply safety and compliance guidelines.

  • Strong critical thinking and problem-solving skills, with the ability to resolve issues and escalate when necessary.

  • Skilled in providing customer service that supports hospital operations.

  • Ability to manage data in medical systems and utilize it to improve processes.

  • Team-oriented with a strong focus on collaboration.

Physical Requirements:

  • Frequent lifting and carrying of patients, children, or objects weighing up to 10 pounds.

  • Regular reaching, grasping, and fine manipulation of objects.

  • Proofreading and checking documents for accuracy.
