Seeking a Medical Office Manager for BCHP's Pediatric Office in Greenwich, CT. The salary of this position will be approx. $65,000-$70,000 annual, negotiable based on experience.
Essential Tasks, Duties and Responsibilities
- Be a liaison between the office and other members of the medical neighborhood
- Listen to the concerns of staff members, attempt to solve problems as they arise
- Speak with staff members about disciplinary issues when necessary, elevate to physician partners or HR department when necessary
- Hiring and termination within the practice
- Coordinate all maintenance projects for the office, including for medical equipment
- Schedule and attend monthly office medical home meetings
- Schedule and attend bi-monthly mock codes within the office
- Attend BCHP quarterly managers' meetings
- Serve as the primary administrative contact for the practice to BCHP leadership
- Maintain knowledge of patient-centered medical home transition
- Educate staff about patient-centered medical home transition
- Complete reporting for PCMH transition
- Support practice throughout entirety of PCMH transition
- Be present at office throughout the day and after hours if an emergent situation arises Supervises, trains and directs other office staff; provides cross coverage as needed
- Addresses scheduling and staffing matters to ensure adequate coverage at all times
- Coordinates and/or distributes clinical and physician schedules
- Responsible for the preparation and approval of weekly time sheets
- Ensures processes are in place for the scheduling and pre-authorization of hospital or other outpatient procedures
- Ensures a daily reconciliation of billing is completed in a timely manner; reviews the missing charges reports and investigates any outstanding bills; conducts a root cause analysis to identify reasons for missed billing and takes appropriate corrective action with his/her superiors and physician leaders to address systemic issues.
- Assists physicians with medical and fellowship appointments, calendars and arranging meetings
- Ensure office supplies are maintained at acceptable levels.
- Maintains and updates physician certificates and licenses, as necessary.
- Mentors, trains and otherwise ensures that all staff members maintain excellent customer service skills at all times.
- Mediates employee issues; serves as the primary liaison to the Human Resource Department for hires, terminations, discipline and other matters.
- Maintains the strictest confidentiality of patient information and proprietary business matters.
- Provide care in a patient-centered manner
- Attend medical home meetings
- Participate in pre-visit planning
- Demonstrate excellence in both internal and external customer service
- Ensure all medical billing is completed and tracked in accordance with established procedures
- Ensure all co-payments and other point of service collections are processed and deposited to the bank account in accordance with established procedures
- Other duties as assigned
Organizational Duties and Responsibilities
- Performs duties to support the goals and objectives of Boston Children's Health Physicians in its efforts to provide quality service and patient satisfaction
- Demonstrate continuing education by completing all required annual trainings, as stated in the Training Curriculum, including but not limited to care coordination, population health management and self-management support techniques.
- Complete annual corporate compliance training
- Understand and effectively communicate HIPAA compliance, corporate compliance and client confidentiality
- Ensure and/or remain in compliance with local, state and federal regulation
Requirements
Required
- High school degree or equivalent required
Preferred
- Bachelor’s degree in health or human services or a related field or related experience preferred
- Pediatric experience
- NextGen EMR experience
- Medical Office Management experience
