Boston Post Adoption Resources (BPAR) is a 501(c)(3) nonprofit. Our mission is to support all individuals and families who are touched by adoption. Our team of licensed mental health professionals are specifically trained to deal with post adoption challenges with clients of all ages in individual, family and group settings. Overview of the Role
We’re seeking a highly organized and proactive Office Manager to support our day-to-day operations. This is a key role that ensures our office runs smoothly and efficiently, supporting our clinical team, executive director, and external partners such as our marketing, billing, accounting, and IT vendors.
Key Responsibilities
- Office Operations: Oversee daily office functions including managing supplies, mail, scheduling, and general upkeep.
- Finance & Billing Coordination: Liaise with our external billing and accounting teams to process bills, track checks, and ensure accurate financial documentation.
- IT & Systems Coordination: Serve as the main point of contact with our IT vendor for software, email, and system management.
- Clinician Support: Provide administrative support to clinical staff as needed, such as scheduling support, forms, and supplies and provide on-site crisis management, if required (training provided).
- Executive Support: Assist the Executive Director with scheduling, communications, document prep, and other administrative tasks.
- Donor Database Management: Maintain and update donor records in our CRM/database (Little Green Light), and support donor communications and acknowledgments.
Qualifications
- Prior experience in office management, administrative support, or operations, ideally in a nonprofit or healthcare setting.
- Strong organizational and multitasking skills.
- Comfort working with accounting processes (e.g., bills, invoices, reimbursements).
- Proficiency in Microsoft Office and/or Google Workspace; familiarity with donor databases and CRM systems is a plus.
- Excellent communication and interpersonal skills.
- A proactive, flexible attitude and a team-oriented mindset.
Bonus Points For
- Experience working in a mental health, healthcare, or human services environment.
- Familiarity with HIPAA compliance and confidentiality practices.
- Basic knowledge of donor engagement or fundraising systems.
Compensation & Benefits
Salary: 50,000 - 60,000 per year
