Job Description:
The Program intern position will work closely with the Countdown to Kindergarten Director and Program Manager and the Department of Early Childhood procurement team to coordinate invoicing, ordering and data collection for Countdown to Kindergarten. Assist in creating a best practice for Play to learn group coordinators and ASQ screeners to comply with contractual data collection. This role is responsible for all record keeping of C2K events, activities, parent partner payouts and fiscal agent reporting and accountability. Keep organization of materials ordering, tracking, playgroup classroom storage and equipment inventory. This position is supervised by the C2K Director. The Program Intern will assist in creating, revising, managing, and implementing summer transition activities, Talk, Read, Play campaign and events, outreach strategies for play to learn groups, support registration info sessions and assist with programming for Family Play Week. They will ensure Countdown programming is fiscally responsible and contractually in compliance with yearly programming including Boston Saves, Read Boston and Screen Every Child for C2K. Additionally, they will assist in the development and implementation of reporting quarterly to the Countdown to Kindergarten Steering Committee and Early Childhood department leadership. Finally, the program Intern will document and collect outreach strategies data for Play to Learn Group Coordinators and Boston Saves project manager to increase playgroup participation.
Responsibilities:
- Prepare transition mailings for all incoming Kindergartners for K-days and celebration
- Place bids for T-shirt and contractual work with C2K programming
- Maintain C2K storage unit and inventory
- Review all funding sources and allocations quarterly with C2K Director
- Place orders, invoices and PO’s for C2K programming
- Data collection, analysis and provides reports on Play to learn groups pre and post surveys, registration forms, attendance, ASQ screenings, field trips etc.
- Track and account for fiscal agent request, reporting and payouts to vendors
- Organize and track C2K materials, orders, deliveries and mailings
- Manage and maintain all welcome centers C2K corners for outreach and enrollment of familiesinto C2K activities, UPK sites and BPS schools.
- Represent Countdown to Kindergarten at various community meetings and events as needed
- Attend weekly, monthly and and quarterly meetings with C2K staff, Early Childhood staff and steering committee
- Other duties as needed, including workshops, training, community events, etc.
- Flexible hours; 20 hour work week
- Moderate to heavy lifting (of equipment, materials, books, etc.) required periodically
Qualifications - Required:
1. Associate, Bachelor’s degree or commensurate experience
2. Background in early childhood education, social work, family support, parenting education or a
related field
3. Experience working with infants and toddlers, and/or families with young children
4. Experience working with ethnically and economically diverse communities
5. Ability to develop strong working relationships with others (individuals and agencies)
6. Ability to lead others, work independently with minimal supervision, and as part of a team
7. Ability to multitask
8. Strong oral and written communication skills
9. Strong organizational skills
10. Computer proficiency including Microsoft Word, Microsoft Publisher, Microsoft Excel, and
internet use.
Terms: Part-time, hourly position at $25.00 per hour. City of Boston residency is required. Some evening and weekend hours may be necessary.
