Job Summary:
The Operations Coordinator is responsible for assisting Reconstruction and Core Claims Project Managers in planning, executing, and closing projects efficiently and effectively. This role involves coordinating project activities, facilitating communication within project teams, and ensuring that projects are completed on time and within budget.
*This position will support two locations - Lynchburg, VA and Myrtle Beach, SC - one onsite, and the other remote.*
Job Duties and Responsibilities:
Project Coordination
- Assist in the development of project plans.
- Coordinate project activities and tasks among team members, sub vendors and customers. Monitor project progress and report on key metrics to project managers.
- Track project expenses and resources.
Communication and Documentation
- Maintain clear and consistent communication within project teams.
- Prepare and distribute project documentation, reports, and status updates.
- Organize and facilitate WIP (work in progress meetings) meetings, including agendas and meeting minutes.
- Ensure that project-related information is accessible to team members.
Risk and Issue Management
- Identify potential project risks and issues and communicate them to project managers.
- Assist in developing and implementing risk mitigation plans.
- Monitor and report on the resolution of project issues.
Resource Management
- Ensure that team members have the necessary tools and information to perform their tasks effectively.
- Assist in managing subcontractors or external vendors.
Quality Assurance
- Assist in implementing and maintaining quality control processes.
- Monitor project deliverables to ensure they meet quality standards.
- Support project managers in conducting quality reviews with customers.
Administrative Tasks
- Maintain project files and documentation in an organized manner.
- Assist in the procurement of project-related materials and services.
- Prepare and submit project-related invoices and expense reports.
Customer Engagement
- Build and maintain positive relationships with home and business owners who experienced the loss.
- Address customer inquiries and concerns in a timely and professional manner.
Additional Information
- The Operations Coordinator reports to the Estimating and Compliance Manager, however, will be partnered with specific Project Managers within the Reconstruction department, Core Claims department or a hybrid of both to execute projects.
Qualifications:
- Associate’s degree in business, project management, or a related field.
- Bachelor’s degree in business, project management, or a related field, preferred.
- Proven experience in project coordination or a similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in project management software and tools.
- Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus.
- Attention to detail and ability to work independently and as part of a team.
Physical Requirements:
- An Operations Coordinator typically has a role that is more focused on administrative and organizational tasks within a project management team, which doesn't usually involve strenuous physical activities.
- The majority of an Operations Coordinator’s work is done on a computer. This includes typing, using a mouse, and looking at a screen for extended periods. Proficient computer skills are necessary and the ability to sit at a desk or long periods comfortably is important.
