What are the responsibilities and job description for the Executive Assistant/Full-time position at BOUNDARY COMMUNITY HOSPITAL?
Schedule: Monday-Friday, 8am-4:30pm
POSITION SUMMARY:
The Executive Assistant assists and performs a variety of administrative duties of a highly confidential nature for top level administration, and on occasion, other department managers. In addition, this position acts as a liaison between hospital administration and the Board of Trustees.
- Manages heavy executive calendars. Oversees and performs clerical duties such as answering the telephone, scheduling meetings/appointments, making travel arrangements and maintaining files. Screens communication (e.g., mail, phone calls) as directed by executive.
- Maintain a very high degree of skill and experience in receiving and appropriately processing confidential materials whether written or verbal.
- Skillfully and confidently respond to public and staff requests and respectfully represent the Administration Department to the public.
- Prepare and proofread minutes, documents, correspondence, news releases and reports in a timely manner.
- Meet on a regular basis with the CEO to plan for and arrange work assignments and activities.
- Work in concert with the CEO in their position as Secretary of the Board of Trustees scheduling Board and Committee meetings, preparing agendas and information packets, notifying Board members of upcoming meetings and events and preparing minutes.
- Assume responsibility without supervision, planning, organizing and prioritizing multiple tasks and projects and following-up on same.
- Maintain an accurate, up-to-date filing system.
- Manage conference room and on-call sleep room calendars
- High School Diploma required.
- Minimum of four (4) years administrative assistant experience preferred including one (1) year in a healthcare related setting; previous experience working with executive leadership preferred.
- Maintains a Notary Public License, or willing to obtain
- Advanced skills in Microsoft office: Word, Outlook, Excel as well as presentation software
- Exceptional interpersonal and customer service skills; excellent written and verbal communication skills
