We currently seek a full-time experienced Legal Intake and Data Base Specialist to join our Firm Administration team in our Syracuse Office.
Salary Range : $27.00 – $29.00 / hr.
Primary Responsibilities :
Intake
Responsible for receiving intake phone calls from potential clients.
Complete intake form for potential clients and direct to appropriate attorney.
New Client / Matter
Carefully, accurately and in a timely manner, review and process all NCMM submissions for new and existing clients (includes conducting any required corporate research on the listed parties to the submission, resolving any noted data entry errors / omissions in the NCMM forms).
Review new matters for accuracy and completion, confirming that required documents such as engagement letters and conflict waivers are attached.
Collaborate with attorneys, staff and the Firm's Time and Billing Department to ensure that the Client Database is regularly updated for accurate invoice addresses and billing methods.
Process all client matter modifications, closings and re-openings, while maintaining system integrity and confidentiality.
Responsible for routine maintenance of NCMM Forms.
Maintain and update procedure manual.
Additional projects / duties as assigned.
Requested Qualifications :
Prior legal industry new business intake / conflicts experience. Bachelor’s degree or combination of education and experience preferred.
Strong analytical and deductive reasoning skills.
Excellent database and internet research skills.
Excellent interpersonal and communications skills with the ability to communicate concisely, accurately and professionally with attorneys, administrative staff and prospective clients.
Strong telephone communication skills.
Excellent organizational skills and attention to detail with ability to prioritize and multitask in a fast-paced environment.
Ability to work independently while collaborating with teammates to ensure exceptional customer service.
