Independent advisory firm with approximately $10B in assets under management seeks Client Administrative Associate to support client process and operational tasks.
Responsibilities
- Assist with cash management for ultra high net worth clients, overseeing cash transactions, private equity calls, and wire transfer payments.
- Manage team's private equity capital calls and distributions, billing/fees, and separate account cash balances.
- Prepare meeting materials, print and bind documents.
- Manage team calendar, scheduling client meetings and quarterly calls.
- Assist with investment subscription agreements.
- Capture statements for balance sheet reporting, file and store documents.
- Help gather/send tax documents (1099s, K1s, etc.).
- Support Partners' travel coordination and expense report management.
- Backup Associates on simple reporting, run basic Black Diamond performance reports.
- Manage prospect pipeline reports and CRM system inputs.
- Oversee internal compliance process, upload pitch books through Basis Code.
- Provide administrative support on new account process, review and finalize onboarding spreadsheets.
- Lead onboarding discussions with new clients, walk through accessing Schwab portal and setting up paperless statements.
Requirements
- Bachelor's degree preferred.
- Minimum 4 years' experience in Financial Services, preferably with an SEC registered investment advisor.
- Strong software skills (Excel, PP, Word).
- Working knowledge of e-money planning software and Advent's Black Diamond a plus.
- Proactive, detail-oriented, and comfortable in smaller, growing environment.
